Dear BC Communications Committee Member, Congratulations! You made it to the BC's Communications Committee, now let's get started to work. On behalf of ExComm I would like to start by thanking you for volunteering your time and expertise to serve the BC in this capacity. I will be your liaison to the ExComm and in collaboration with Staff (Chantelle, Brenda and Joseph) we will do all in our capacity to help you through your mandate. Kindly forgive the lengthy nature of this mail, subsequent ones would be brief. The first assignment for this Committee would be the election of a Chair from amongst the three elected members namely Vivek Goyal, Yusuph Kileo and Toba Obaniyi. Kindly let me know if you have a choice for a consensus candidate otherwise an election time and ballots will be shared amongst the three of you eligible. Prior to now, Chantelle has managed the BC's Social media handles while Joseph helps coordinate updates to the BC website. These tasks would now fall under the preview of the Communications Sub-committee as would others. The Communications committee would be responsible for the creation and publication of a softcopy version of our BC Newsletter (BC Digest…or a catchier name you may suggest) envisioned to be published periodically every month, whilst a hardcopy version before every ICANN public meeting will be sustained. The electronic newsletter asides featuring news items around the work of the BC and what some BC members in their various spheres of endeavor are undertaking, could also advertise opportunities small businesses within our membership would love to explore. A regular feature could be a spotlight on an existing member of the BC, whilst new members joining the BC could also be featured in a section. It is envisaged that a Mailchimp account would be needed for this purpose. The BC Communications Committee is expected to help in the creation of content that can serve as outreach tool kits across a variety of mediums. Such content would be fit for use in our periodic newsletters, on our social media channels and on the BC website. This team would constantly need to review the existing BC website and recommend improvements to all spheres of the site including all social media handles of the BC. Your mandate includes ensuring all current archives are preserved and that BC website remains user friendly and fully automated to meet all future need. The task of keeping all information on our social media handles up to date also lies with this committee. I would like to draw our attention to provisions in the BC Charter concerning the duties of a Committee's Chair: 4.1 General Provisions. 4.1.1 Chair Responsibilities. As set forth in §2.5.2(a), the Vice-Chair for Finance and Operations will serve as Chair of the Finance Committee; otherwise, the members of each committee shall elect a Chair annually who, among other duties mentioned elsewhere in this Charter, will: a. Schedule meetings and develop agendas; b. Conduct deliberations consistent with the consensus provisions in §6.1; c. Keep and publish (or direct others to keep and publish) minutes of committee meetings and records of committee actions, which shall be made available on the Private List (§7.2.2); and d. Involve Business Constituency Members in the activities of the committee, as appropriate. 4.1.2 Conflicts of Interest. Committee members have a duty to perform their roles with diligence and loyalty to the Business Constituency and will promptly disclose any and all conflicts of interest in a timely fashion, recusing themselves from discussions and decisions whenever there is an actual conflict or offering to recuse themselves in situations which could be perceived to be a conflict.
