Hi Marilyn and all,

Here are the answers to the questions below:

1) when is the DNS Women's Breakfast -- which day -? I'll email Vanda and copy you, Chantelle I haven’t heard anything, and had hoped to find information today. If I hear of a date, I’ll be sure to share asap.

2) Is the BC doing a breakfast, lunch, or something else with a group, such as the Board, or the GAC, or some other group and if so, when is that?  Nothing is planned for ICANN59 at this time- we didn’t have anything for Helsinki, as it is a much shorter format.

I think the suggestion on today’s call of something being coordinated informally could be interesting. The BC did hold an informal cocktail hour in Helsinki at one of the hotels. It was on the Sunday before the meeting began (it overlapped with the SOAC leadership dinner).

3) When would you be planning, Chantelle, to gather the confirmation of existing BC members about who will be at ICANN59 in person? I am happy to send out a notice today to start collecting names. Please expect a note shortly.

I hope this helps.

Kind regards,

Chantelle

Subject: [Ext] Re: BC Outreach Call - Agenda for tomorrow

I would like to note that Omar has been added to the Outreach Committee -- I was not sure if he is already added to the list so just added him in.

I'd like to propose that we divide Outreach activities in the Caribbean away from discussions about LATAM, please, and I'll volunteer to work on that for a next call.  Increasingly, both ICANN and the IGF NRIs are recognizing that there are very strong differences and needs for the Caribbean countries, different from the needs and interests of mainland LATAM.

So, I'd like to add in just a placeholder to further consider Outreach for the Caribbean countries, and then we can explore that further online and in a follow up.

For the Business Outreach event in Afghanistan, if Omar is on the call, perhaps he can be given 5 minutes to update on the Outreach activities that we jointly conducted during the IGFA.

FYI for now:

For ICANN 61 - 2018:

Also, I am invited to be a speaker at the North American Internet Governance School by the organizers, and I want to mention that School of IG will be two days, and has ICANN funding support. The attendees are limited to North America -- that is Canada, North America and the territories and islands that are part of the US -- I will send the list, and of course Puerto Rico. I am in touch with the ICT community in PR already and in the Virgin Islands.   This is not a part of BC Outreach but I wanted to inform all about it as that invitation to me as a speaker has just been made -- not because of the BC, but due to my work with the National and Regional IGFs, especially as I am also engaging to help create a few new NRIs and will be addressing that issue in the NSIG session, among other topics. As well as discussing why business cares about IG issues and how they engage on a national level in different countries.

As we look ahead, we should keep in mind that there may be opportunity to use CROP to send SMEs from N.America to the PR meeting -- something that we usually can't do, and perhaps we can think about business associations from PR with a priority on a way to reach multiple companies.

Finally, I'd like to provide a very short update from the Mentoring Pilot that Omar, Lawrence, and I are part of as mentees/mentor. The project is about on boarding materials, and we have made good progress on an outline for what we are calling "enhancing BC on boarding activities and materials".  Onboarding is not just about Outreach but extends into also prospective members can be better informed about the BC and its activities, and then once they apply, join, and pay their dues,  how new members can be supported both onsite at a first meeting, but also in their introduction into the BC's processes.  We have also been tasked to develop some materials by the Pilot Project and we expect to have a draft to share with the Outreach Committee by roughly the last week of May.   We would then ask for a one week turn around from the Outreach Committee and then ask to share with the Executive Committee.  These are not changes in BC policy, but are suggestions for some small procedural changes, some agreements on materials and standard approaches for acknowledging membership applications; inducting the new members with an introductory "new member's email", which would be informative but not overwhelming.

I can do that update in 3 minutes in AOB.  Omar and Lawrence and I will be participating in the Mentoring Pilot on Sunday, for approximately 5-6 hours. I have made a proposal to the organizer [ICANN] that the Mentoring Pilot end by 1 p.m. or 1:30 p.m. at the latest.  I will try to confirm that is confirmed.

I mention this because Omar, Lawrence and I need to be in the Mentoring Pilot session as we are already committed to that.  We can join the BC Outreach event "in progress", of course!

I have of course held the rest of Sunday afternoon for the BC Outreach plans.

Chris Mondini and Rodrigo mentioned to me informally at another exchange that each morning that 8-9 a.m. is reserved for 'outreach' activities.  Rodrigo mentioned that it could be that the Board and Senior staff are expecting to "hold" their calendars to join those sessions.

I do not know if that is still the case, but I have two questions and Chantelle may have the answers to these, or can explore the answers for us:

1) when is the DNS Women's Breakfast -- which day -? I'll email Vanda and copy you, Chantelle

2) Is the BC doing a breakfast, lunch, or something else with a group, such as the Board, or the GAC, or some other group and if so, when is that?

3) When would you be planning, Chantelle, to gather the confirmation of existing BC members about who will be at ICANN59 in person?
