1. Welcome

2. CASA/Afghanistan Update - 

The event occurred in March, the report is forthcoming but delayed due to unforeseen circumstances. 

The BC sponsored the lunch for the event, and ICANN sponsored a dinner for 60 Afghan businesses, and the participants included 30 business leaders and high officials. 

The Omar and Marilyn spoke during various sessions on how participants could become involved in the BC and within ICANN; and what the benefits are of becoming involved. Four (4) companies were interested in submitting an application, Omar has followed-up with them, to answer any questions, in the hopes of having them join the BC.

Some lessons learned:

- Need to clarify what role participants can play by joining ICANN, particularly useful for smaller companies.

- More sessions with the smaller sessions (can be remote) would help increase understanding about how other small companies can be active in the BC.

- Can be expanded to South Asian participants, as current participation from this region is quite low. 

 

3. AFRINIC Outreach Event in Kenya:

Lawrence updated the BC Outreach team on his speaking event in May. He highlighted how businesses can stay engaged within ICANN,  and how the BC is engaging with small businesses in Africa. 

Lawrence noted that a lot of the policy discussions occuring within the conference affect businesses. 

Marilyn mentioned that caution is needed for events where the ISPCP and the SSAC might also be recruiting for members; and to avoid any misperception of overlap. 

ACTION: 

Template requested - Marilyn proposed a standard outreach template for requests to conduct outreach/travel to conferences; to clarify how this mentions/supports the BC. Marilyn to follow-up.

 

4. ICANN59 BC Outreach Event - 

All but 1 of the speakers were able to attend, and the BC supported 3 speakers to attend the BC. 

The BC event cost <review transcript for numbers>, and $6,355 was spent by the BC in support of the BC Outreach event. 

Twitter and Facebook accounts for the BC were live during the Outreach event.

Jimson noted the challenge was recruiting local businesses to the event; and also the need to start planning the next outreach event much earlier. 

Marilyn noted that 2 of the 4 sessions of the event were about business. Talk about business first, and then why ICANN matters second. Chris Mondini (ICANN staff) has volunteered to draft an article for the BC's newsletter for Abu Dhabi.

ACTION: 

The BC Outreach report for the event is still needed. BC Outreach Committee to follow-up.

 

5. Outreach Planning for future ICANN Meetings

ACTIONs: 

- Translation of BC newsletters to Spanish for each of the ICANN Public Meetings, by ICANN's translation services (Chantelle to speak to ICANN's translation team for dates/timeline)

-Omar's suggestion for having a booth to be further discussed on the BC Outreach list.

 

ICANN60 - Abu Dhabi planning-

- the BC is leading the CSG for ICANN60

ACTION: 

- Marilyn proposed the CSG to host a breakfast with the Board. Marilyn volunteered to help coordinate the breakfast, if requested by the CSG Excomm. BC Coordination with the CSG is needed.

 

6. FY18 Outreach strategy

This strategy needs to be finalized/posted prior to accessing CROP funding (formerly CROPP). Five (5) slots are available. 

FY17's plan was posted on August 19th, 2017. As a reminder, 6-7 weeks advance notice are needed for a CROP event to be approved. 

ACTIONs: 

- Marilyn volunteered to do quick edit by the end of the week of the Outreach Plan. She will send to the group once complete.

- Gabi is working on an outreach proposal to submit to the BC Outreach team for consideration, as she notified the BC Outreach that she was unavailable to speak on today's call and provide an update. This is forthcoming.

  Marilyn:Tetra Tech, Microsoft, IO Global were all possible to gain interest. BUt I'd like to comment on the awareness benefits with the Afghanistan government ... engaging now in ICNN and IGF

  Chantelle Doerksen:Hi Marilyn, your microphone isn't working. May I offer you a dialout?

  Chantelle Doerksen:Marilyn, if you would like my help in developing a template, I would be happy to help with a draft.

  Marilyn:Actually, outreach includes CSTD or IGF and that is not membership recruitment

  Lawrence:Ultimately outreach should lead to wider awareness, new intrest and membership

  Marilyn:Outcome can be : XX number of attendees who are now aware of ICANN and support ICANN's core mission. After all, we are not the only ICANN opportunity to particiapte. 

  Lawrence:While we may just focus on awareness in an outreach event, it may generate new intrest leading to membership

  Marilyn:We need to be careful  that we understand that we are both engaged in advancing the BC but also protecting ICANN's mission, per our own mission. 

  Marilyn:BUT, engagement in ICANN can be via multiple paths, right? 

  Omar Mansoor Ansari:Agri on the engagement via multiple paths. 

  Marilyn:The BC has been the most successful in finding a path to recruit from the Fellowship program. but the voice of the business es with governments  have been making a real difference in fora where governments take decisions, but our voice locally is making a real difference.

  Marilyn:it turned out that Sunday is a very challenging  time, and in the future, let's try to insist with ICANN that we be at the venue, dueing the actual event. Lesson to learn! 

  Lawrence:@Marylin you are definately right. that there could be multiple paths to engagement in ICANN

  Marilyn:When we went to Costa Rica, ICANN Baord told me that we could only do Sunday. I inisted on Monday and we had all the Board of the ICT association at our reception and about 5-6at the breakfast on Tuesday.

  Marilyn:actually, the Policy Forum is a major challenge. venue: not available without charge.  

  Marilyn:I had to pay for a room on site, for instance, for the NRI informal meeting, until Chantelle rescused me. Let's thnk about the local community much ahead of time but recognize that this session isn't our best opportunity. 

  Chantelle Doerksen:Since the meeting was only one day rather than every day of the meeting, made it quite easy to find a pop-up room. No charge to the NRI :-)

  Chantelle Doerksen:ICANN can provide Spanish translation services, but we will have to have the newsletters ready sooner. I can look into the dates

  Lawrence:do we have any BC members in the UAE

  Marilyn:I am not supportive of a BC booth, as most of the BC members won't staff it. Let's just keep putting fact sheets and brochures at the booth.

  Lawrence:may i suggest that for ICANN 60 we generate a list of prospective companies we may desire their membership and invite them to a special BC session at Abu Dhabi
