3.                   Review of mentoring work ICANN83



a.                  Meet and greet session : immediate feedback

 

Bart: Wednesday morning session

Jenifer: encouraging to see a full room, with many newcomers. Feels like a welcoming and supportive space for newcomers. Feel like continuing to build this momentum

Wafa: agree. Exchange between newcomers and buddies was good too

I was in touch with 3 newcomers and will continue the engagement with them after the meeting. I interacted with them from day 1 onwards. I explained to them what ccnso does, how they can engage, and find out their topics of interested. I guided them. Shared some docs. He promised to get back to me after having reviewed the docs

Gudrun: good session, many newcomers. I am Heidy’s buddy. We will have our first zoom meeting this Thursday. She already has sent me 3 questions, which we will discuss.

Bart: any specific observations?

Jenifer: good energy in the room. I think it helped to break the ice

Gudrun: is there a link to the new buddy system? Some info about it

Claudia: i could create a shared doc with access to view. Just the names?

Sami: good session. Publish info, good for newcomers. 

Bart: also the the OMC pre-ICANN83 Info Package 

 

Bart: was the timing of the session right?

Claudia: earlier in the week would be better, to guide newcomers

Jenifer: I also think holding the meeting at the beginning of the week and in the morning works really well, people are fresh, focused, and it helps set the tone for the days ahead.

Sami: first or second day of the meeting would help to encourage more engagement

Bart: surprised how many newcomers showed up. We hardly had any responses to the emails we sent. Any idea why the newcomers attended? Did you promote the session? 

Jenifer: i promoted the session to the fellows, before prague, and during the fellowship sessions in prague

Wafa: the fact that it was in the schedule helped a lot. 

Sami: i talked to GAC reps. They said they have different people assigned to ccnso matters. The guy from Kuwait showed up

Gudrun: I did not speak to anybody about the session. Good it was on the schedule

Claudia: tour de table was a good way to match people. Made them feel more comfortable

Joke: agree with all what was said.

Would be good to know what newcomers themselves thought?

Also good idea to have a central source of info, to avoid it being a one-off. Useful also in case we need to do a review in future

Wafa: how did they find the newcomer session. We should also ask what they went back with. Also, they could evaluate their buddies. Express their appreciation. Ask if they join a WG, which session they enjoyed. Add a specific question regarding the program

Jenifer; did they feel welcome, supported? What was most valuable to them? Which communication channels did they use/prefer?

Bart: Let's circulate the survey from 15 July afterwards. People have a week to respond. OMC evaluates in the results during the week of the 28th of july
