Abdalmonem: doing good for ccTLDs, have UA day on the agenda at ICANN80 3. Update Library & outreach plan Abdalmomen: suggestion from Vadim Kim: contacted communications team. They checked the invitation from the UAC to ccTLDs. Please look at it in the next day or so. We have a deadline for this friday, if we want something for ICANN80. Comms could create a handout, a flyer. Simple and consistent. Once we get approval for that email. They are working on a plan for that. Internal processes regarding mail subscription are changing. Talking with Bart. sending link to invite letter to subgroup. Bart: you sent link, and they reviewed. Latest Friday morning UTC, they need feedback from this group, to start creating the flyer? Kim: yes. Bart: this group has 36 hours for the review Kim: yes, for the flyer to be distributed at ICANN80. Take as much time as you want with the letter. They want to use the letter as a basis for the flyer. We need to have the request in by Friday. Flyer draft will be shared for community input. Kim shares the suggested text for the letter. Bart: focuses only on the library. The 3 points are important Kim: for now. They will add text for the mailing list. Bart: 3 channels. The intro text can be as concise as possible Abdalmonem: focuses only on library. First point is becoming a UAC member Bart: UAC members review the letter, and add changes in suggestion mode. I like that it is a 1-pager. First 4 paragraphs are too wordy. The call to action should be more prominent. Bart: deadline in 24 hours Regina: signing up to the group? Bart: yes. See 3 points. Call to action. Kim: add back the 3 calls to actions into the email. Mailing list is ready to launch, library ready too. Regina: 4 email addresses in the letter is too much. Kim: generic subscription e-mail list (for DASC, UAC etc). You have the submission one, and the subscribe one Bart: one point of contact. Regina: please change it Kim: please change it in suggest mode. Abdalmomen: order? Bart: the suggested text replaces the one on top. Abdalmomen: their suggestion is to make this the invitation email. Shorter. Kim: adding back the info about joining UAC and the request to join the mailing list Bart: please include a page break. Max 1 page. Qing Cai:agree to have the letter on 1 page max. But the revised text only focuses on the library. The other 2 calls to action are missing. Bart: i will work on this in the next 2 hours. I will let you know when i have completed my review. Then you have a better sense of the proposed letter. 4. Presentation “UA readiness” survey’s a. Presentation Eurid survey Regina: I can give a 5 min. Overview. Read more: www.IDNworldreport.eu<http://www.IDNworldreport.eu> Regina speaks about the data sources for ccTLDs and gTLDs, and the cooperation with ROs. Questions regarding user awareness, support by registrars, and accessibility and native languages. Important field for the future. At some point, also policy makers like the data-based decisions. Useful indicators. Or proof that certain activities make sense. We can adjust our survey, based on input from the group. Does not make sense to share too many surveys. Seda: how many participants? Regina: see website Abdalmonem: 50% is fine. 2 from 3 or 2 from 4. Numbers are important to consider. Sample of the questions? Would be good basis for our future survey. Regina: yes Abdalmomen: i have the one from last year. Regina: will look it up and share them Bart: is there also a UASG survey? On top of ICANN and EURid? Does not make sense for UASC to do the same. Let’s revisit the discussion regarding the need for a UASC survey on 8 may and later meeting. First get a sense of the current state of affairs. It would also give a nice overview to the broader commuiyt Abdalmomen: a survey coming from ccTLDs for ccTLDs would be preferred. There is also a roadmap for ccTLD readiness. Momentum signed by ICANN and APTLD. Would be good to get a sense about the content of the document. Bart: for inclusion in the library? Abdalmomen: yes. b. Presentation ICANN org survey Seda: prefer to defer Bart: focus on ccTLDs and UA awareness Suggestion to extend the 8 may meeting to 90 min. UA Day presentations for 30 min, and the remainder of the session would be focus on the surveys. Seda: works for me. c. Discussion: need for UAC survey? Bart: UAC explored the option to have its own survey.but there are other surveys out there, so the added value for an own UAC survey is very limited. Use the results of the survey to infom the broader community at Kigali. Qing Cai: answered the survey last year. Question about the registration numbers. Would be good to add questions in the future survey, namely: * Are you willing to send technical experts or business experts to join UAC? * Are you willing to share case studies? Bart: part of the roadmap, to share case studies. Qing Cai: can the library team share contributions in the form of journals? Articles or case studies? Also, the letter. We need feedback. Bart: please send your suggestions to the library team itself. The editorial board can review and inform you about its decision Kim: could we make a copy of the library-specific email. To be used later. Maybe in a year, do an engagement survey. See tld-ops example Bart: yes. Also other surveys Abdalmomen: UASG and UAC to determine the survey questions. Last time, very few ccTLDs responded. Now we have UAC, to help encourage ccTLDs to respond. We should plan before launching. Cctld contributions to UA Day are important. We should have a plan with UASG. important to consider. Regina: i want to show you, to give you a sense of what EURid shares. Not sure whether i am available on 8 May. public holiday in my country. 5. UA session @ ICANN80 (Kigali)| Wednesday 12 June, block 1 (75 minutes) Abdalmomen: can we send the invite letter before ICANN80? Announce it at ICANN80? Bart: yes, can circulate prior. The session at ICANN80 will be another call to action. Abdalmomen: we should also share our views regarding contributions by ccTLDs to UA Day. Bart: thirdly, the outcome of the surveys. And the need for an additional survey. Maybe even ask the question to the community Abdalmomen: banners for promotion. Are they ready? Bart: see Kim’s update at the start of the meeting. But that is info to share, and not about the content of the meeting itself. Bart: support staff comes up with a session flow and how this meeting could work. Does this work for you? That is what is meant here. Question is, do we need an additional survey by UAC? Bart: if you agree with the 3 topics, please check green marks Group agrees. This allows us to detail the question Seda: is the session a separate session run by UAC? There is also a separate prep week session by UASG and ICANN, to which UASC will be invited. Bart: this is a session as part of the ccnso members meeting. They are organised by ccnso groups, and open to all with an interest. See Tech Day example.
