I did not look at the letter since we met last week. See update below 3. Update Library and Email list Kim: subgroup met last week. Submissions evaluated. Email to be sent a few weeks before ICANN80. Invite to attend the session at ICANN80. Handout will be available at ICANN80 with QR codes Joke asks about the images/details from the flyer. Please share on the mailing list 2-sided handout. One for library, other side for the mailing list. The email itself will have the details itself for the session at ICANN80. Abdalmomen: asks for the images. To be shared on social media. Picture of front and back Kim: yes. Once received from comms will circulated on mailing list Qing Cai: apologies for missing the sub-group meeting I just finished the library chart. 4. UA Day a. Information on UA day in Belgrade, what was impact, what did it take to organize etc. Dijana from RNIDS. Spoke about UA Day 2024 held in Belgrade. RNIDS manages .ru and the cyrillic IDN ccTLD Speaks about remote and onsite attendance. People from approx 50 countries onsite, and from 10 countries remote. Support from local ministry. Successful event. It resonated well with the local community. RNIDS is well connected. Lots of state related representatives. People who work with IT systems in their organisations. Cyrillic is the main script in the country. Interviews with Sally Costerton. Nice media coverage globally. We had a dedicated website. Branding coordnation. Our job was to do field work, and support our colleagues abroad. We are a small team. Just 15 people. One main point of contact, which was me. Need to be able to rely on colleagues. Requires our finance team, our legal team to be involved. Keep this in mind if you consider doing this. Management decision about resource allocation. Would be best to communicate the venue, the host, etc asap. Thus people have more time to arrange travel, and help people with visas etc. Bart: you had less than 4 months to organise Dijana: yes. Bart: was that when you heard you were selected? Dijana: yes. And second part of December is a bad time to start organising events. Holidays, end of year budget etc. plus Serbia is on vacation first half of January. Bart: your story is illustrative of how it works. Would you like to share your story at the UAC session in Kigali? Remotely is fine? Dijana: yes. I could attend remote. I could prepare a case study. A marketeer story. Bart: thank you. That is another way of looking at UA Day and events Sarmad: it was an excellently organised event under Dijana and the team’s leadership. Vadim: thank you again for amazing event and for you warm hospitality. Regina: agree. Variety from people from all contents. b. Next UA Day: what to expect, will there be a UA day (Sarmad) Sarmad: resources for 50 events taking place at the same time is not possible. UA day events could be organised between March and May. we shortlisted 50 events, and 40 already took place. Still some left happening the rest of May. Happy to follow up with a more detailed report soon Lesson learned: we should start planning sooner. Once the 2024 report has been published. Starting in July. we already started sooner than last year, but not early enough Change from last year: broader community involvement. Started as a UASG event. We were pleased to have representatives from other stakeholder groups including ccnso and ALAC. we would like to see more engagement by ALAC and ccNSO. Many contributions coming from ALAC. ccTLDs proposals and related org in ccTLD-ecosystem are welcome. We need to evolve the mechanism to get the committee more involved, along with UASG. thus having a broader community contribution. Mechanism to finalise the UA Day main event early. Best way of doing it? We had conversations. Bart: could you share a rough indication of the timeline in Kigali? What are the lessons learned form the past, on the applications and the application process? Sarmad: we can try to develop the timeline soon. But requires community input. Ambitious to have it finalised by Kigali Bart: exact dates are not relevant. High level Sarmad: yes, share a high level proposal and ask for input. Different events: Awareness, strategy, technology, and this year we also added academic curriculum and UA adoption event. Last was very relevant, core of the focus. Dijana: no ccTLDs from the region at the event. We already had a different meeting in Belgrade earlier that month. Not all of the region ccTLDs have IDNs Abdalmomen: bonus for ccTLDs to apply for UA Day proposals? Can we have quota? Just a thought. Trying to increase the participation of ccTLDs in UA day and adoption. Sarmad: fair process open to all. We want more ccTLDs in the shortlisting process. Having a multistakeholder listing committee. Everybody should be able to compete fairly Abdalmomen: fair point. Egypt private sector successful applicant. Invite ccTLDs to join. Promoting UA for ccTLDs Bart: let’s move to next item on agenda. Limited availability today for Sarmad and Dijana. Seda: no special categorisation regarding ccTLDs. Even if the organiser is not a ccTLD, might be affiliated with. See how many were involved in the UA Day event. .in .am and .cn 5. ccTLD UA awareness and readiness surveys: some results a. Results ICANN UA readiness survey ( Seda) Seda: report https://www.icann.org/en/system/files/files/ua-readiness-survey-report-cctld... Responses from 63 ccTLD managers. They represent 75 ccTLDs Geo diversity. 58 from ASCII. 23% out of all ASCII ccTLDs. Info about UA readiness status Abdalmomen: valid time to go for UA surveys. Thanks for the comprehensv overview Seda: the results will be used to develop the strategy. Does not necessarily mean we will repeat the survey Abdalmonem: ccnso to take the lead. Bart: let’s look at EURid’s presentation. Then you can start comparing. And check whether there is need for an additional survey, in the short term. Regina: see highlights from my presentation last time. I shared the list. This is awareness. We are collecting data from centr and zooknic too. Have a look at the results from the combined data sources. We are open to join forces, or add additional questions. Rather than bother ccTLDs every half a year with another survey Abdalmomen: it is a comprehensive survey for IDNs, not UA We need both directions, for future surveys Bart: something for Kigali. Compare both results. EURid survey is done on a regular basis? Regina: yes, once a year. At the start of the year Abdalmomen: Regina shared a report and a link Bart: we covered all the topics that you wanted to include in the Kigali session. b. Are there other surveys? 6. Planning for Kigali a. Topics: i. Introduction UAC ii. Announcement and introducing the Library, Email List and Workplan iii. UA Day: raise awareness and interest in next year’s UA Day iv. Awareness and readiness of UA to date ( based on current surveys) : what’s next? Bart: we have 75 min. We started with a slide deck already. b. Presenters c. Polling, if any We could add some, around UA Day and readiness. Anna: thanks to ICANN and UASG for their help in organising the events. Also, for offering the opportunity to me and others to join the events. Abdalmomen: engage with GAC ? I need some slides to present to GAC and ALAC. Bart: the ccNSO support staff is focusing on the ccNSO-related meetings. We can check whether other groups are organising something. This is the first time UAC organises a real UAC session as part of the ccnso members meeting Abdalmomen: and ICANN prep week. Bart: we are not involved in organising these sessions Seda: there will be a prep week session. We can see whether we can contribute remotely to your session at ICANN80 Bart: yes, remote is fine. Regina will be remote too 7. Next meetings: 15 May | 13.00 UTC: continue presentation Survey results 22 May and 29 May | 13.00 UTC: prep meeting Kigali session 8. AOB none 9. Adjourn Thanks to Kim for UA-related work, noting that Kim will leave the policy team and ccnso, to join another team at ICANN Thank you all.
