I just sent my adding sentence to the letter in the first paragraph. For what we will use funds are not clear. ( political issues, religious… support things that we are against???)I just added one small sentence explaining I agree with Marilyn that looks like even we asking for a favor we are hiding something that we do not want the person willing to help could know. However, I will just note that I worked for a major corporation for many years, and during that time, I engaged many experts for advice for ad hoc activities, NGOs, etc.. Ireviewed the letter and frankly, I would NEVER agree to participate in a call with such weirdly cautionary language.
It reads like this:
hmmm, you do not now who "we are". We are very special. And, oh by the way, don't bother to learn about us. No need!
And, by the way, you should know today whether you might today, or ever in the future have a client interested in applying for the auction funds, although you do not know the mechanism we will choose, or the conditions, etc.
And, oh by the way, we hope you will want to donate your time to give us information while we are not clear with you.. and we may sort of blackball you if you answer any question in a way that makes "us" uncomfortable.

I hesitate to send this draft forward, but I want to use it as an example of what I learned, as I tried to streamline and edit. I found it very difficult to explain what we wanted, without waving so many scary flags -- we will post everything you say publicly. To anyone employed by an NGO or a foundation, that reads: please consult your legal counsel so you know what you can share with us. We can have Chatham House rules, perhaps? Aggregate all inputs as we do at the IGF consultations, without noting who said what, but including a list of who posted comments? I think we are over thinking this and over doing it. We want to listen to some informal and non binding information that informs this group. Can we reconsider how legalistic we need to be to just "learn". I did make extensive edits, but I just think we are headed in a direction that is too restrictive and too legalistic. I wish I had thought of this earlier but it was when I started applying this to my own experience as an NGO Board member for a small NGO, that I started thinking about how this will be received. Thanks Marilyn for this draft. I think it reads more clearly and fluidly. I think the CoI part can also be worked out as a separate section to make the letter a bit shorter. I think it will be ideal to have the questions organized into an online form so that input can be easily aggregated and anonymized. The CoI could be a couple of ticks on that form. That way, the it can just be an email including the forms. Now, regarding the platform, does ICANN has access to Zoom? We use it a lot for large groups and it is working a lot better than our old Webex and Adiobe Connect too… maybe worth trying? I will only be on the first hour of of the call today, due to a conflict with an event I need to be at.
Apologies.
However, I will just note that I worked for a major corporation for many years, and during that time, I engaged many experts for advice for ad hoc activities, NGOs, etc.. Ireviewed the letter and frankly, I would NEVER agree to participate in a call with such weirdly cautionary language.
It reads like this:
hmmm, you do not now who "we are". We are very special. And, oh by the way, don't bother to learn about us. No need!
And, by the way, you should know today whether you might today, or ever in the future have a client interested in applying for the auction funds, although you do not know the mechanism we will choose, or the conditions, etc.
And, oh by the way, we hope you will want to donate your time to give us information while we are not clear with you.. and we may sort of blackball you if you answer any question in a way that makes "us" uncomfortable.
Surely, we can do better than this in how we explain the issue, the invitation, and the call for a declaration of interest.
Just as someone the CCWG do not know today if in the future they might have a client or be part of an organization that might apply for funding, that may be the case for those that are interviewed.
I also note that if you want a senior executive to read a letter - make it one page, with attachments.
I'll join as long as I can.
