face to face meeting details
Kurt and leadership team, As we prepare for the face to face meeting in Toronto next week I have a couple suggestions/requests. Managing the queue: can we please use Adobe to manage the queue? In LA and especially in Barcelona Adobe wasn't used which led to issues that we just don't have when using Adobe. We are all used to using Adobe, lets stick with that for the face to face. Adobe Chat: along similar lines, in Barcelona, Adobe chat was either discouraged or not available. As a result we had much longer queues. It also led to many cases of jumping the queue to "correct the record". I know chairing or otherwise facilitating a meeting and keeping up with chat is essentially impossible, but the meeting chat is a valuable tool and helps move discussions along. We are all used to using Adobe chat and I thought not having it in Barcelona hampered progress. Also I think everyone understands when the chair has to pause to catch up on chat. I agree, and thanks Marc for proposing. I’d also propose we have some sort of limitations/constraints on verbal statements. I have taken a couple days to respond in order to conclude a pre-planned call with CBI where we discussed how best to administrate the meeting - in order to best determine how to incorporate Adobe Connect into the meeting. Here is where we are on this. The Adobe Connect room will be open so Amr and others frustrated by the visa process can attend whenever they are able. Regarding the queue: I discussed this in some detail with CBI and the support team. You will be able to register a place in the queue. However, in an effort to create an effective dialogue, we will reserve a right to alter the queue in cases where it seems that would be beneficial to the discussion. I think Gina and David did this effectively during the Los Angeles meeting. We ran into trouble in the latter Barcelona meeting where I was left to manage the queue, which I did not do well. CBI is there to facilitate our progress and I wish to give them some latitude in managing the queue. Regarding the chat: It will be available. Again, I believe CBI will rely heavily on oral participation rather than type-written comments. I agree with that approach. We did discuss a place where chat might be particularly effective. In certain circumstances we might want to memorialize certain opinions or comments on issues to be closed where it would be more expeditious to record those comments in chat rather than taking time to have them presented orally. I know chairing or otherwise facilitating a meeting and keeping up with chat is essentially impossible, but the meeting chat is a valuable tool and helps move discussions along. We are all used to using Adobe chat and I thought not having it in Barcelona hampered progress. Also I think everyone understands when the chair has to pause to catch up on chat.
Breaks and meeting pauses: On yesterday’s Team B call initially when we got to the discussion on Purpose 5 (compliance) no one had any comments. Kudos to Brian who suggested we pause for 5 minutes so people could review. It wasn’t an issue of Team B members not being prepared, we just have a lot of topics and issues on our plates and needed a moment. We ended up having an excellent discussion following the 5 minute pause and generally agreed to revised language for the recommendation. When considering the agenda for the face to face, please make sure you are accounting for time for people to take breaks, sync up with team members and refresh their memories on discussion topics.

However, you did not respond to suggestions made by me and others about limitation of the number of intervention and the duration of each intervention as well as avoiding one stakeholder or One SO/AC monopolise the discussion I also suggested that at some appropriate time the discussion MUST be closed and decision to made. Time constrain does not allow us to be engagées in lengthy process While we should make every possible effort to Arrive at consensus but sometimes we are Obliged to check the temperature of the meeting In addition people MUST respect each other No one is wrong but there may be different if Opinions and views that MUST NOT be translated to judgement by one saying others do not understand The conduct of meeting must be efficient , constructive and friendly I was suffered from unfriendly statement by others naught thought they are above others and speaking on behalf of GOD Regards Kavouss Sent from my iPhone

I can't make it. So I support this. And I prefer that as much as possible we don't have break out groups. But that I cannot control so if there are breakouts then that is fine. I have never seen empathy towards the problems of visa seekers from this community. We are not only frustrated by visa processes but by the lack of informed decisions when it comes to selecting a location. It is not realistic for the non-privileged to get a Canadian visa within a month and a half. But it is also troubling to see those with the most disruptive behavior are listened to and are taken into account at the expense of elimination of others. Enjoy Toronto.
