I’m also in favour of taking the time which has been fixed and getting things underway at least for this kick off call.  If we do a Doodle now the call could be pushed back further, and as it is we are coming up against the Marrakech meeting. 

 

Assuming we have an in-person meeting in Marrakech we really should try to make that count by dealing with the substantive work plan there.  The next opportunity to meet in person could be some time – will there even be time in the Meeting B/Panama schedule?  So, in my view, the more we can do on the admin and procedural matters on a first call and by email before Marrakech, the better.

I support the idea of getting the first kickoff meeting underway—we have to start somewhere and while this decision may seem arbitrary I don’t think a doodle poll would provide us with a clear preference – I agree with Steve that it would in all likelihood introduce uncertainty and delays in scheduling.

 

Let’s get this party started and work out how best to determine meeting times and dates moving forward on our first call.

Establishing the date for the first meeting was done primarily to provide as much advance notice as possible to members. The main reason for not using a Doodle poll for this initial meeting is that the WG membership continues to grow, so members yet to sign up to the WG could be excluded from participating in the poll. One of the topics for the first meeting is anticipated to be a discussion on future scheduling of meetings, which could include debate around the day of the week and time and whether rotating meeting times is necessary, though resolution would be done through a Doodle poll or similar.

 

That all said, from a staff perspective, we can certainly still establish a Doodle poll for this initial meeting, but it may introduce uncertainty and delays in scheduling.

Staff has consulted with Paul McGrady, the Council liaison and interim chair, and identified a proposed date and time for the first WG meeting, which is Thursday, 25 February 2016 at 16:00 UTC. As the New gTLD Subsequent Procedures PDP is anticipated to be a topic of broad community interest, we thought it would be beneficial to allow the call for volunteers to remain open for a period of approximately three weeks. Going forward from that initial meeting, the WG may want to identify a different day of the week and time(s) that may be more convenient for members. Unless this proposed time proves widely problematic, we will work with the GNSO Secretariat to have meeting invitations sent to members in the near future.

 

In terms of staff participation, it is indeed expected that a number of staff, including from the teams led by the folks Jeff mentioned, will at a minimum follow the mailing list, if not actively participate in WG discussions.

 

And to the discussion between Mirilia and Michele, the reason for targeting the end of February for the first meeting was to allow for adequate time for potential members to sign up before the WG begins discussions. However, as Michele noted, signing up after the WG starts is possible.
