Hi all, Mohamed, Patrik and I have sorted out how we will be dividing up various chair responsibilities going forward, and we wanted to share the results of that with you so that you know which of us you can expect to be hearing from about specific topics and which of us you should get in touch with about specific discussions. Of course, we will be working together as a team and will continue to be contributing as individual participants, but we wanted to identify point people for specific tasks so that nothing falls through the cracks. Here is the rough breakdown that we arrived at: Secretariat liaison - Patrik - Meeting planning: venues/rooms, interpreters, logistics, travel - Web site / communications - Mohamed will assist - IT needs (e.g., comments forum, Dropbox, etc.) - RFP work with Adiel Future meeting planning - Draft agenda creation - shared between Mohamed, Patrik, Alissa - Alissa will chair meetings when available, delegate otherwise - Sept 6 meeting: Mohamed and Patrik will share chairing duties Shepherding work items (setting deadlines, sending reminders, liaising with task owners) - Communities RFP - Mohamed - Secretariat document(s) - Patrik - Consensus document - Alissa - Charter - Alissa - Timeline - Alissa - IGF statement - Mohamed - Future work items will be sorted out as needed We also wanted to set expectations about private emails that we may receive from you in our capacities as chairs. If you email us about ICG administrative matters, we may forward those to the secretariat, or loop the secretariat in on the email thread. If you email any one of us about ICG matters that are not for discussion on this mailing list, we may loop in the other two chairs on the email thread. If you do not want us to loop in the other two chairs on any particular side discussion, please make that clear in your email so that the recipient among us knows to keep it private. Thanks, Alissa
Alissa, Thank you for sharing this. It is encouraging to see that our chairs are moving right along. Your way of organising yourselves looks very reasonable to me. I am sure Patrik can deal with the fact that as an ICG member he expressed a strong opinion about secretariat matters. As we agreed in London the chairs should not be restrained to argue their point of view as a member of the group. I also appreciate the clarity of your paragraph about email expectations. I just hope that this does not encourage a lot of private communications with the chairs. My perception so far has been that we all agree that communications about our work should be visible to all members of the group and above board. I expect from the chairs that you will actively push back if matters of substance are communicated to you privately. Daniel

Indeed, thanks Alissa - this approach makes a lot of sense and is very clear. No comments from me, except that I expect plenty of work items to come along in future, and it may be worthwhile to maintain a table on the website to track these (rather than posting email updates). That could document not only the responsibilities of the chairs but also the tasks assigned to ICG members. However, like Daniel said, I also think it would be helpful to have all communications seen by three of you and members of the ICG as long as such communications relate to the work of the Group. Mary and others, The intention was not to say that we chairs wanted to encourage such communication. The intention was instead to let members of the ICG know and be aware of that we in our role as chairs of ICG will explicitly _add_ ICG as a whole or at least the other chairs to the communication _if_ we get mail addressed to us as individuals. This unless the discussion for example is with one chair regarding behaviour of another of the chairs or other private personal matters. Otherwise the normal way of managing directly addressed email (for example from you Mary to my personal address) is for me to "just" reply and not for me to add anyone to the cc list, because you did not want to share the information with others. So the whole idea is that we will if we get private email related to ICG indeed open up and by default add at least co-chairs to the otherwise private discussion. I hope this makes things more clear.
