Hello I am one of the participants of WS2 Diversity using the ES interpretation service. I think it is important to continue but: - It is sometimes difficult to address w/ a question or comment the meeting, further guidance and best practices on that would be good - Clear directions on how to join the call w/ interpretation on the reminders, in the languages interpreted. - Outreach efforts towards ICANN Spanish and Portuguese speaking communities would be appreciated to see if it is possible to gather more participants I can think of the twitter accounts and Facebook but I'm sure other strategies can be devised Understanding this request comes from a minority of the participants, I'd still think it is important to consider not only this request isolated but a strategy for working groups which have the goal of inclusiveness and the need to gather more volunteers to think about how to use interpretation more efficiently. All, you will remember that the Diversity sub-group undertook a pilot project of offering interpretation services on its calls for Spanish and French until the end of June 2017 (end of FY17). After the pilot was complete we agreed to evaluate the effectiveness of the service if there was a request to continue into FY18.
The Diversity sub-group has made the request to the Co-Chairs to continue the service until the end of August 2017 at which point they expect to have their draft recommendations completed and ready to send to the plenary. If approved by the plenary these would then go on to public consultation which would imply the sub-group would be dormant for several months until the end of the public consultation.
Given the interpretation service is not included in the FY18 budget, and represents a 2,000$ expense ( 4 meetings @ an average cost of 500$ per meeting) and that the next plenary meeting is scheduled for 30 August the Co-Chairs felt it was best to ask the plenary to weigh in on this request via the list.
Staff provided the following report in early July to the Diversity sub-group on the requirements and usage of interpretation services for the pilot:
*Live interpretation was provided in French and in Spanish during 8 Diversity subgroup calls between April 13th and June 15th2017.*
*Live interpretation requires the presence of 3 interpreters on the call, plus one technical support staff, i.e. a total of 4 extra persons sitting on the calls to support the interpretation service.*
*The French channel was used by 0 to 2 persons maximum per call (0.75 in average).*
*The Spanish channel was used by 0 to 1 person maximum per call (0.625 in average).*

It is important to note that this in no way affects the Captioning service which is provided to all WS2 and WS2 sub-groups and that this service will continue for all of WS2 as required.
As such, the Co-Chairs would appreciate the input of the Plenary participants on if WS2 should continue funding this service for the Diversity sub-group until the end of August 2017 as requested.
