Hi all Attached is a paper that has just arrived from David Olive as ICANN's contribution to the revised schedule and considerations relating to future ICANN meetings. They would like feedback by Friday 18 December (no pressure!!) I would really appreciate some feedback from ALAC and RALOs,that I can send to ICANN Org to supplement the inputs from the SOAC Chairs(-only) meeting which we are holding this Weds (at the same time as the CPWG meeting). So if I could have some feedback from any of you on this thread, I'd really appreciate passing it on (the good, the bad and the ugly!). Their 12-page document is attached. M

Dear Maureen, I mostly agree with the document, I am happy to see this 4 step approach, where a phase 1 will allow for regional hubs/regional meetings. The points I am not agreeing with are in the key findings, these are: *Increase time for networking and develop better tools to support networking opportunities during virtual meetings.* - My concern is networking, thus pushing for regional hubs (phase 1 and 2), not during virtual meetings. The networking in the conference I was looking for is the one that allows a small group to reach a consensus outside the meeting, to elaborate a strategy, to find a solution. Not networking to meet new people, yes this one is also needed, but the first one is the productive one. *Increase visual/video/graphic elements and encourage use of video cameras by all participants.* - The use of video cameras. I have not seen a study on broadband with or without video, but for any compression algorithm it won't be the same to compress a presentation with voice, than 200 cameras, (or the same broadband needed to share or not your own camera). This objective sounds good when you have a nice broadband in your house/office, but this is not the case for most Latin America and African countries, not even so in the outside larger cities in some developed countries. Before going to take this measure, be aware of the impact on internet connections. I don't know if someone in this group already has some findings on this. Also, take steps before, like the use of Zoom meetings vs webinars in the different sessions. I agree with Ricardo's comments re: video. I live in the middle of a city and sometimes I have to turn video off as bandwidth gets thin. Re: networking -- I have little energy for on-line networking/coffee breaks/socials during extended virtual meetings. I usually need to get away from the screen for awhile -- I know that sounds boring, but unrelenting screen time is mind-numbing. Perhaps there are tools which would make it worthwhile, but I haven't seen them yet. I'd rather see meeting shortened rather than networking time increased. I am also wondering if the impact of extensive vaccinations are taken into account. It is early days, but if the hype about millions of doses being available in a few months has any validity, this will change things again. Should there be a slow return to f2f mtgs, how would vaccinations fit into the picture. I will definitely be in line once I see an available line forming. But there are sceptics. And to add I also question the value of networking in an online context. Like Marita, I need breaks from screens. Real networking is the F2F stuff - the give and take of a real conversation over coffee or (after 5) something stronger. And bandwidth is not just a south American/African problem. Someone ask our ALAC chair about bandwidth on Cook Islands! Another concern is that the meetings stretch over time to cover weeks! People can take time off for a week or so - but stretching over weeks when particularly AT-Large community members have day jobs as well…... But yes - starting with a regional hub meeting is positive- and at least people are in roughly the same time zone. Holly

I also want to give voice to support networking *opportunities* note people they are not compulsory just like speaking to friends, foes or totally new people bovet a brrak is not required at physical meetings... And like Judith I have *many* positive experiences from several different online fora pre and in pandemic mode and I certainly value them... I should note that in our virtual National IGF we specifically requested speakers at sessions to make themselves available in the social networking channel we provided during the following breaks... I have read the paper and have different experiences than others. At the IGF USA we did a virtual cocktail and it was great. It was relaxing and gave everyone a change to relax and let go steam. Of course we did this after the event was over. So perhaps that was why it worked well. People who were not participating in the event and were just webinar participants said it was also great
I loved the networking event we did in Malaysia. I thought it worked well. We got the idea from RIPE NCC which had a series of fun social events and this worked really well.
I tried out Spatial Chat at the Brazilian IGF meeting which was a Samba Party and I did not know anyone but it was easy to talk to people and there were places to go and quietly talk to others. You would leave the music room and go to another room and it worked well. I got a chance to talk to people I only knew from meetings. It was relaxing and I think this worked out well. At the TTF in January we will be testing a series of these networking apps so can provide you with more feedback later.
After each session we had a separate room where people can go and talk to the speakers after the session and continue the conversation like often happens in in person events and this worked really well. I enjoyed these 20 minutes convos. I think it really helped. It was very informal
I think we need more places to be informal. We need to have zoom rooms, white boards and other things that we have during in-person events. We need an ability to talk informally instead of just so formal events and meeting which can be stale.
Holly and Marita are right, these three week sessions are killers. For Virtual meetings we cannot have 3 weeks, it just will not work especially while we all have days jobs
We need more RTT, We need more zoom meetings, we also need video of the speakers, but not necessarily videos of the people who are not speaking. The people who are speaking also must face the camera. If you just have these videos it cuts down on the bandwidth but also helps others relate and also helps people who are lip reading be engaged.
Not sure how the regional meetings will work during COVID. I can see international meetings maybe starting before regional ones but I could be wrong.

Yes, I’m inline with use of live videos. My unstable Internet connection is unpredictable even without the use of video. Virtual Networking times, social activities and use of avatars to be in virtual coffee breaks I did try it. It might work for people who knows each other to continue their informal chat but it wouldn’t be easy to newcomer. I assume the way it is proposed in the report is optional but there must be an initiative or invite from the participants and not from the organizers. The organizers would only provide the platform but not to program an activity during these networking slots. I do agree with Marita that in virtual meetings we need to be away from the screen after the actual sessions. I also agree with Holly regarding the working hours during the virtual meetings to at-large community. During the public forum there were voices of this regards and focusing the meetings on the working hours simply are excluding newcomer and having non effective participation whom are logged into the sessions to pretend presence. Re: networking -- I have little energy for on-line networking/coffee breaks/socials during extended virtual meetings. I usually need to get away from the screen for awhile -- I know that sounds boring, but unrelenting screen time is mind-numbing. I am also wondering if the impact of extensive vaccinations are taken into account. It is early days, but if the hype about millions of doses being available in a few months has any validity, this will change things again. Should there be a slow return to f2f mtgs, how would vaccinations fit into the picture. I will definitely be in line once I see an available line forming. But there are sceptics. At some point, will co-vid vaccinations be mandatory for those attending large international meetings?

Also, take steps before, like the use of Zoom meetings vs webinars in the different sessions. I felt particularly uncomfortable in the ALAC - Board session, being a Zoom webinar, this is supposed to be a close meeting.
