Re: [ccnso-council] [Ext] Re: [cctldcommunity] [ccnso-members] Community Consultation on ICANN Public meetings - ACTION NEEDED!
Dear All, During the consultation sessions we will provide you with a high-level overview of ICANN org’s proposed recommendations and the potential impact on the ccNSO – both for ICANN70 and the meetings after that, followed by Zoom polling. Below and attached, please find the list of questions included in the Zoom polls: 1. Which of the following meetings did you attend? (multiple choice) * ICANN66 (Montreal | October 2019) * ICANN67 (Cancun | March 2020) * ICANN68 (Kuala Lumpur | June 2020) * ICANN69 (Hamburg | October 2020) * I did not attend any of these meetings 1. When looking at past meetings, which of the formats has your preference? * ICANN67 (Cancun | March 2020) - no ccNSO related sessions in or around ICANN67 - 1 exception: ccNSO Council meeting * ICANN68 (Kuala Lumpur | June 2020) - ccTLD News prior to meeting - limited number of sessions during ICANN68 week - no meeting with the full Board - ccNSO social event * ICANN69 (Hamburg | October 2020) - ccTLD News prior to meeting - limited number of sessions during two weeks of meeting (SO/AC work week, followed by plenary week) - meeting with the full Board - ccNSO social event 1. ICANN70: Which format do you prefer? * No ccNSO-related sessions (exception: ccNSO Council meeting) * Limited number of ccNSO-related sessions, BUT must be included on ICANN70 public schedule (exception: ccTLD News prior to ICANN70) * Limited number of ccNSO-related sessions (incl. ccTLD News), irrelevant whether they are included in the ICANN public schedule 1. How likely is it that you attend an ICANN Public meeting, if there are no ccNSO-related sessions on the agenda? 1. Very likely 2. Likely 3. Not likely 4. Very unlikely 5. Do not know 1. How likely is it that you attend the ICANN org networking events? * Very likely * Likely * Not likely * Very unlikely * Do not know 1. Which of the options has your preference? * Rotate the time zone through ICANN’s five <https://meetings.icann.org/en/regions> geographic <https://meetings.icann.org/en/regions> regions<https://meetings.icann.org/en/regions> * Rotate the time zone, but limit to 3 options (NA & LAC | AF & EU | AP) * Organise sessions during a limited period of time, with least pain for all * Other * Do not know 1. Which of the proposed enhancements will improve your ICANN public meeting experience? (multiple choice) * SO/AC work sessions and intersessional meetings spread throughout the year * Unified online calendar with all SO/AC work sessions and intersessional meetings * Enhanced networking opportunities and tools * Trained staff facilitators for interactive sessions during the public meetings * Revised proposed meeting structure (see proposed block schedule) * Rotate meetings across 5 time zones * Regional Meetings * None of the above Consultation There are two options to participate in the consultation session. Dear Roelof, Nick, Annebeth, all, I couldn’t agree more :-) I’d also like to stress the importance of having ICANN Public meeting schedules far in advance. But every online ICANN meeting since March had a very different format and schedule and for ICANN 70 we’ll get another format at the end of January, less than 2 months before the meeting. It turned out that online meetings require much more preparation and 2 months is simply not enough. The attendance will probably be lower, because people will not be able to include all the sessions in their already overbooked schedules. Don’t exactly understand how this whole process falls into one of the key findings of the survey: Determine goals and overall meeting objectives early in the planning process to facilitate more effective engagement and progress during the meetings. I’d kindly invite all of you to participate at one of the 2 webinars (today at 18:00 UTC or tomorrow at 11:30 UTC), so ccNSO Council will get all relevant Information to provide ccNSO response on the proposed meeting strategy. Thanks in advance and kind regards, Barbara On 14 Dec 2020, at 20:57, Nick Wenban-Smith <Nick.Wenban-Smith@nominet.uk<mailto:Nick.Wenban-Smith@nominet.uk>> wrote: Just to echo Roelof’s comments here, virtual participation is hard! On the one hand I’ve had the original ICANN dates in my calendar for a year or so to avoid diary clashes, but with the meetings now spread over 3 weeks I still had lots of ‘day job’ meetings which clashed with ICANN sessions I wanted to go to, especially for the Hamburg meeting which was only an hour different from my time zone. Not helped by the meeting schedule being settled as usual quite close to the meeting dates. A series of meetings over 3 weeks in a quite different time zone like KL is just impossible. My conclusion is definitely to have a smaller number of good quality and well-prepared sessions but to try and stick to the original week as much as possible. A good way to plan the times you need to keep free in your work diary (ideally with easy links to the zoom room) would also be nice. There have of course been some benefits of not having to travel, better investment and thought into the remote participation tools and structure which we should keep. Probably for 2022 and onwards I guess but it seems hard to imagine we will ever return to the old in person meetings structure and so it’s worth working on the assumption of semi-permanent virtual meetings, ie this isn’t just a temporary way of working we need to be thinking about. Hi Barbara, An interesting document, that -in my opinion- contains quite a bit of logic. That said, I wonder if rotating the time zone that virtual meetings will be in around the ICANN regions will help us much in effectively participating in such meetings. And if there is anything that can make these virtual meetings really work… My experience with the “Kuala Lumpur” meeting is that it is (at least for me) absolutely undoable to follow a multi-full day online meeting in a timezone that differs significantly from the time zone of the place I am following the online meeting from. Starting at 3am and continuing the full day is possible for one, two days. More days mean you have to adapt your day/night and work/sleep schedule to the timezone of the meeting. Impossible, unless you’re living alone in a remote area without phones and a doorbell. Which in turn would probably make having sufficient bandwith a challenge… ; ) My experience with the “Hamburg” meeting is that, even when a multi full-day meeting is in your own time zone, a physical ICANN meeting with jet-lags and really long days etc turns in a gorgeous short holiday with a bunch of friends in comparison. Yeah, trying to participate usefully in a virtual ICANN meeting is one heck of way to discover why it is no so weird that our industry has so many “global” physical meetings and why my ICANN travel budget is actually well spent Best, Roelof Meijer <image001.png> SIDN | Meander 501 | 6825 MD | P.O box 5022 | 6802 EA | ARNHEM | The Netherlands T +31 (0)26 352 55 00 | M +31 (0)6 1139 5775 roelof.meijer@sidn.nl<mailto:roelof.meijer@sidn.nl> | www.sidn.nl [sidn.nl]<https://urldefense.com/v3/__http:/www.sidn.nl/__;!!PtGJab4!sCFn5WjIsihG9GV_O...> From: cctldcommunity <cctldcommunity-bounces@lists.nic.cz<mailto:cctldcommunity-bounces@lists.nic.cz>> on behalf of Barbara Povše <barbara.povse@register.si<mailto:barbara.povse@register.si>> Date: Tuesday, 8 December 2020 at 17:50 To: "ccnso-members@icann.org<mailto:ccnso-members@icann.org>" <ccnso-members@icann.org<mailto:ccnso-members@icann.org>>, "cctldcommunity@cctld-managers.org<mailto:cctldcommunity@cctld-managers.org>" <ccTLDcommunity@cctld-managers.org<mailto:ccTLDcommunity@cctld-managers.org>> Subject: [cctldcommunity] Community Consultation on ICANN Public meetings - ACTION NEEDED! Dear all, Hope, you’re all well and healthy and already looking forward the the Christmas and all the presents :-) After ICANN69 ICANN org was seeking community feedback, to assess the effectiveness of ICANN’s virtual Public Meetings, the improvements that the org should make to its support for the community's work at meetings, and any other aspects that should be integrated into our in-person meeting strategy going forward. Thank you to all who provided input to that survey. The ccNSO responses can be seen here: https://www.surveymonkey.com/results/SM-YR8RLKT67/ [surveymonkey.com]<https://urldefense.com/v3/__https:/www.surveymonkey.com/results/SM-YR8RLKT67...> At this point, it is difficult to predict when we will be able to meet f2f. We should look for the best ways to improve the quality of our virtual meetings, firstly, at the ccNSO level and, secondly, at the ICANN-wide level. So, we should continue building our capacity for virtual meetings, finding new ways how to make them better, more efficient and effective and - if possible - more enjoyable :-). Taking in account the results of the survey and input by SO/AC chairs, who discussed the results with ICAN org at the roundtable on Dec 4, ICANN org has prepared a document for Community Consultation on ICANN Public meetings. I’m sharing this document with you and would be interested to hear your opinion. Please provide your input by December 17, the deadline to provide consolidated feedback is December 18.
