Dear Council colleagues, As we enter the final stretch of pre-ICANN63 planning I would like to do a bit of strategic thinking about how we prepare for PDP work in Barcelona. Agree with you both. Updates are of course useful, but can be pre-meeting webinars/pre-reads/perhaps a 2 minute overview with one slide as an intro for the F2F. Then we need to know projected timelines, any issues/problems/blockages and everything Michele lists. We’re supposed to have an overview of process including concerns and of course we do have to meet physically as we’re supposed to help as well as represent! Marie Well I can be a little blunter. There’s no value in us all sitting through a 20 page slide deck with the entire history and background of a PDP and the policy that it’s dealing with. Thanks, Michele. For the recent pre-meeting GNSO Policy webinar, the following approach was used for the updates in an attempt to make them more useful for the Council and focused on dialogue by covering the following items: * Timeline * What are the current challenges and issues? * How can the Council and community assist? * What to expect at the upcoming ICANN meeting If this did not achieve the desired focus, we are of course happy to hear how this should be modified. For example, would it be helpful if the slides are shared in advance of the meeting, and the webinar itself is just focused on Q & A with the Council (and others that may be interested)? In relation to the Policy Update webinar do note that there is only limited time that can be spend on GNSO topics as the time is shared with updates from other SO/ACs, but it may be sufficient in combination with the GNSO Policy briefings that are published prior to every ICANN meeting? One difference is that the policy update webinar is staff led while the recent GNSO policy webinar was community led, with the PDP Chair(s) as the speakers. Whatever you decide, staff stands ready to adjust as needed to make sure you that the Council has the information it needs to perform its role as manager of the PDP. Thanks Heather, Regarding the scheduling and numbers of these “updates”, I tend to prefer to have the PDP update on-site. Certainly just a personal thing but the preceding week(s) tend to be crowded to both prepare for that meeting and do things for my day-to-day job I should be doing during that meeting week and have to squeeze into the preceding week(s) instead. My short time memory being what it is, for things that are not directly under the constituency’s radar or mine, it also makes things easier to have them closer to meeting people in-person. I actually registered for the generic policy webinars but I’m ashamed to say I missed most of those I subscribed to. There is also, I should add here for context, a broader ICANN policy webinar that occurs prior to public meetings in which the GNSO participates, as do other SO/ACs. The question here is how best/most useful/most efficient to update on our PDPs: on the ground in Barcelona, or advance by webinar? My principal feedback to staff to this point has been that while I think it's very helpful to have the updates before we hit the ground at a f2f, it seems to duplicate efforts to hold both a generic policy webinar and a GNSO specific policy webinar. Agree. Short and sweet focusing on timelines and problems is best. Certainly just a personal thing but the preceding week(s) tend to be crowded to both prepare for that meeting and do things for my day-to-day job I should be doing during that meeting week and have to squeeze into the preceding week(s) instead. My short time memory being what it is, for things that are not directly under the constituency’s radar or mine, it also makes things easier to have them closer to meeting people in-person. I actually registered for the generic policy webinars but I’m ashamed to say I missed most of those I subscribed to.
