On multiple occasions before the pause we had expressed to Staff that extending the existing ICANN trip is often prohibitive for some of us. Some of us have other commitments that cause >1week to be a non-starter. As we start to think through the agenda for ICANN63’s f2f, I think it would be much more reasonable to find time during the week for us to meet. Perhaps scheduling multiple shorter (3-4 hour) blocks would even make us more efficient. If there is any consternation about room availability, I would suggest we either look for space at the connected hotel or just use one of the smaller pop-up rooms that I believe you all tend to hold open. As a matter of process, if the team makes a decision in plenary and you now want to revisit that decision, how about we put that on the agenda for the next team meeting rather than random email exchanges. Hey Phil, Just for clarity: the team has repeatedly expressed the desire to conduct our RT meetings during the ICANN meetings, for over a year; Staff keeps trying to schedule them adjacent to these meetings and we keep objecting. I am not sure if you sense that there was an agreement to meeting before ICANN63, but I don’t recall that. Can you please clarify for me if I have missed something? <no hat> I personally feel that being able to conduct our work over email is imperative (at least in part). By contrast, I think the plenary calls are particularly useful for interactions that require low-latency/high bandwidth (like discussions, disagreement resolution, brainstorming, etc.). In the past, I think we have tended to overload the plenary calls and have conducted a lot of our work there because the list has been quiet, but I’m worried that the process you have outlined here might put a throttle on our email list discussions. Hi, Phil/All. I agree we need to clarify our decision-making processes. I think that process needs to include email in a structured, agreed upon way. Previously, given the difficulty of some members attending some conference calls, we used the email list to enable members not on the call to weigh-in before decisions are locked down. Given the geographic distribution and busy schedules of our volunteers, I think incorporating email in our decision-making processes, and getting staff/consultant support in running the protocol, is necessary to support Team member participation. For example, only 9 Team members were on the last conference call. Regarding a Barcelona meeting, as I recall the Team agreed on the last conference call that, after DC, we have our next F2F meeting around the ICANN meeting in October in Barcelona. I specifically suggested that we ask staff to investigate our ability to meet before, after, or during the Barcelona meeting and that we then quickly come to agreement on the exact dates and nature of our meeting on e-mail over the following few days. While Phil noted his understanding that staff prefers to have the Team meet before the Barcelona meeting starts, I don’t think that should be construed as a “Team decision.” Unfortunately, I now see this was recorded by staff as the Team’s decision. Please clarify if I’m remembering things incorrectly. Personally, I would like to make sure the times and dates for Team meetings are driven by maximizing Team participation rather than staff convenience. Thanks. Hi everyone, We are going to have an interesting conversation about groundrules. I am afraid that if anyone is to be blamed for any misunderstanding it is me – and certainly not staff. I wrote the meeting record. The decision was that staff should make a request for a F2F for the team at Barcelona. The staff did that as asked. The only meeting facilities on offer from the ICANN organisers (not RT staff) were for before the meeting. Staff relayed that information. As I understand the issues there are serious problems with attempting to run in-depth review meetings during ICANN Conference session times. It is not a matter of staff convenience. It is also not a problem to say – “can we revisit this please?” If I overreacted to the tone of the emails – my apologies. My intention was to steady the decision-making processes. For example, only 9 Team members were on the last conference call. I specifically suggested that we ask staff to investigate our ability to meet before, after, or during the Barcelona meeting and that we then quickly come to agreement on the exact dates and nature of our meeting on e-mail over the following few days. While Phil noted his understanding that staff prefers to have the Team meet before the Barcelona meeting starts, I don’t think that should be construed as a “Team decision.” Unfortunately, I now see this was recorded by staff as the Team’s decision. On multiple occasions before the pause we had expressed to Staff that extending the existing ICANN trip is often prohibitive for some of us. Some of us have other commitments that cause >1week to be a non-starter. As we start to think through the agenda for ICANN63’s f2f, I think it would be much more reasonable to find time during the week for us to meet. Perhaps scheduling multiple shorter (3-4 hour) blocks would even make us more efficient. If there is any consternation about room availability, I would suggest we either look for space at the connected hotel or just use one of the smaller pop-up rooms that I believe you all tend to hold open. Good Evening, I agree with Eric here: attending the ICANN meeting plus two days for the review might be difficult for some, as it makes the trip longer than one week.
