Invitation to join the ICANN Meeting Strategy review

Dear Jodi As you may have heard the chair and vice-chairs of the SOs and ACs and ICANN recently discussed that ICANN should soon start a process to review the current meeting strategy <https://meetings.icann.org/en/future-meeting-strategy>, to improve the efficiency and effectiveness of meetings. The current meeting strategy was agreed upon and adopted over 10 years ago. Since that time the environment in which these meetings are organized and held have changed significantly. To structure the review process ICANN will establish a small group of community members (one member per SO/AC + an alternate) and members of ICANN staff (see included notes from the latest SO/AC roundtable). After consulting Jordan and Biyi (in copy), my question for you: Would you be interested to be one of the two ccNSO appointees in this community group? The other appointee will be Molehe Wesi, from South Africa (.za). He has already accepted the invitation. Thank you for considering the question. There are four attachments in total: (1) a thematic summary of the community feedback that we received in response to the discussion paper we shared in July, including some suggested topic areas that might be useful in framing further community dialogue (2) an updated version of the additional paper we had also circulated, outlining the types of costs associated with an ICANN Public Meeting and the trends we are seeing (3) a slide deck that visually depicts the updated meetings cost data described in that second paper (4) a visual summary of the costs of the inter-sessional (i.e., non-ICANN Public Meetings) in-person and hybrid community meetings that ICANN funded between 2022-2024. I note that you had requested the data reflected in this document at the last Roundtable as a staff action item. My colleagues and I are looking forward to continuing our conversations about how we can collaborate with you and the rest of the community to determine where and how we can realize cost savings from the meetings we hold, while ensuring that the community continues to receive the support it needs to advance its priority work. As the ICANN81 Roundtable will be mostly focused on this topic, I will invite CFO Xavier Calvez to join the meeting to provide you with any needed information about the budget and our planning for FY26. Dear Tom When the ccNSO received NomCom's email to review the job description for future NomCom appointed councillors, it was shared for review with the ccNSO Council and the conclusion was that no update was necessary. Therefore, there was no need to meet with the NomCom to discuss it further, since it remained unchanged. The dissatisfaction with a past selection to the ccNSO Council happened a long time ago and it was addressed and solved years ago and the latest update of the job description addresses this. It was not clear to us that there was a need from the new cohort of the NomCom to have a conversation with the leadership of the ccNSO, regardless of the lack of changes to the job description. Apologies for the misunderstanding. If it's still helpful, we can arrange for a virtual call in December. Dear Sean As ccNSO's Approval Action Manager, attached is the Approval Action notice from ICANN's Secretary regarding a Fundamental Bylaw Amendment. The Empowered Community has the Approval Action Community Forum time set out in the Bylaws (until 11 December 2024) to call more than one Community Forum during this time (if necessary). At the end of Approval Action Community Forum time the Empowered Community then has 21 days within which to deliberate on the approval. I understand that anticipating this Secretary's notice, ICANN has a placeholder on Thursday Block 1 to carry out an in person Community Policy Forum.
