Dear GNSO Council, Please find attached the work products and links to the materials that will be used for the extraordinary meeting scheduled for 16 July 2020 at 21:30 UTC. Dear Berry, I listened to and watched the Zoom recording. This is very helpful and I am impressed by the work and effort that went into this output! I like MS Project and you choosed the right tool. It helped me a lot to understand the workload and action/decision points. Not that I am familiar with all topics of course 😊 I was wondering of it would be possible for org to send around a printed version of the Program Tool in A3 format. I know we live in digital times but it may help some of us (me in particular) to have a quick and easy view on the progress and possible impact on all action/decision points. Just a thought. Hi Flip, Thank you for the comments. I think the last few pages of the project plan are in A3 format within the PDF. I don’t think it will be feasible to send around hard-printed copies, as the project plan and ADR will change at least monthly. Unless, I’m misunderstanding your request? Thank you. Dear Councilors, Please find attached an updated version of the ADR. Changes are as follows: 1. Most of links in the document were the result of a bad copy/paste error. They now reflect the corresponding supporting document. 2. The gTLD Program / IDN Track 2 was migrated to the 1-3 Month range marker to better align with the action/decision in the 0-1 range marker. 3. A table at the end of the document to highlight staff support Program owners of Primary / Secondary For the extraordinary call tomorrow, we will start at top of the list and work our way down. The further we traverse the list, you can expect discussions around how the Council may handle the prioritization of projects in the pipeline. It’s likely we will not be able to review all items within the 2 hours, but those towards the end, I will highlight in summary for your future consideration the next time the ADR is reviewed and as more information becomes available. Thanks for this Berry, this is extremely useful. I’d have 2 questions which you make take during our session later today. - You mentioned that you will/may be transitioning from ms project to a more readily available tool, and I’m wondering whether this might affect what’s needed at council level. My reading is that we’ll essentially be looking at its output ie the radar Program Management ADR in addition to the Project list that stays anyway. The WBS references should be remain same bw the tools (?) so overall I’d expect no/limited impact of that transition. - You probably explained already but given that a tool is always just as good as the data you fuel it with, would you elaborate on the sources of the data that are used for the wbs? Hi Philippe and All, Thank you for “useful” comment. Gantt chart geeks can feel alone sometimes. 😉 In answer to your two questions: 1. No decisions have been made about what the next tool may be if there’s a change at all. Org is in the process of determining a target software solution in relation to project management. I mentioned a possible tool change as few staff have MS Project. What I do know is that out of all iterations of a comprehensive tool we’ve tried (like the spreadsheets), this one seems to be working best and meeting our requirements. I do agree that we’ll need to ensure WBS is maintained to the ADR and that the feature is maintained in whatever new tool that may be considered. 2. The sources that make up the content of tool range from the Project List, prior iteration(s) of the tool that I quickly demonstrated in the recorded webinar and used form prior SPS, and links to the proposal documents listed below in this thread such as the Wave 1 report (+ proposed next steps), EPDP-P2 remaining policy topics, etc. For all, this is the first generation of the ADR and I suspect we’ll go through several iterations after use and lessons learned before we consider it stable.
