GNSO Council Liaisons to PDPs - Request for Input and Feedback
Sent on behalf of the GNSO Council PDP 3.0 Small Team. If you have any questions about the specific request below or the PDP 3.0 effort more broadly, do not hesitate to ask. Dear Past and Current Council Liaisons, The GNSO Council PDP 3.0 Small Team has developed the set of attached questions designed to collect feedback about what went well, what was a challenge, and identify possible improvements from past or current GNSO Council liaisons to GNSO PDPs. Recognizing that each PDP operates differently based upon the PDP leadership, the PDP scope, the controversial nature (or lack thereof) of the PDP issue(s), and the timelines, we are not seeking to normalize every PDP; we also recognize that because each PDP is different, some of the questions may be more or less relevant to your respective situation. These questions are designed to help inform the Council's PDP 3.0 Small Team on how to improve the Council liaison role, which could result in the development of new tools, new processes, training, etc. Rather than providing a response in writing to the questions, the expectation is that these questions will form the basis for a discussion amongst you all and the PDP 3.0 small team. To that end, please complete the Doodle poll here: https://doodle.com/poll/kuuidbpcpwhk3dea. However, it may be the case that you in fact prefer to provide your feedback in writing, prefer to share your experiences in a more intimate setting, or the times just absolutely do not work for you. We are flexible and will find a way to work with you. Given the wide geographical spread, it may be impractical to do a single call anyway. We appreciate you taking the time to consider your experience as a GNSO Council PDP Liaison and providing your insights to help improve the guidance and tools for this important role. If you have any questions, please let us know. Hello All, Friendly reminder to try and complete the Doodle poll at your earliest convenience. With the weekend coming up and options as early as Monday next week, we would really appreciate your response. There is one additional option I did not include in the poll. The PDP 3.0 team’s regular call is scheduled for Tuesday, 24 September at 13:00 UTC. If this particular time might work for the liaisons, I believe we can carve out some time during the regular agenda. This would increase the likelihood of PDP 3.0 members being available. Hello all, removing the liaisons from the email. Apologies for not making it more clear, but members of the PDP 3.0 small team should also complete the Doodle poll. I dropped a note saying as much on the Slack channel, but I know that we are not all checking there as often as email. Thanks and have a great weekend. Hi All, Thanks to all of those who responded. As expected, there is no such thing as a time that works for all. The closest proxy for that is on Thursday at 22:00 UTC, so be on the lookout for a calendar invitation. In advance of the meeting, please feel free to take another look at the attached questions and come prepared with things you would like to share. For those of the PDP 3.0 small team members who cannot attend, we will be sure to record the meeting. For current/past liaisons who cannot attend, we can always try and schedule another session or you can submit written feedback. Hi All, with emphasis on the liaisons, Thanks to all that were able to attend. Among other things, I think we received some valuable feedback about the need to make the expectations of liaisons more specific (e.g., in bullet 2 below, we could add the aspect of reporting for which the liaison is responsible). We also heard that clarity is needed around the liaison balancing their role as liaison versus WG member. As discussed on the call, I am sending around some materials for your review. What I want to call your attention to specifically though are the questions that were posed. Please take a look and give them consideration. While there are 11 questions, you can prioritize where you believe feedback is most needed (e.g., questions 7-11). Paul, Keith, Elsa, Flip, Stephanie, Susan, as you were unable to attend the call, your input in particular is sought. If you think an additional call would be beneficial, we can try and schedule one. Also attached are the set of slides that were used. Within those slides, you’ll find references to existing materials already in usage or in development. Hi All, Just following up on this email to see if there is any additional input to consider, particularly on questions 7-11. On a related note, we can still schedule another call for the past and present liaisons that were unable to attend the first meeting, but I’ve not heard from any of you expressing any interest. Hopefully providing written feedback will work for those that still intend to provide feedback: Please do so by 23:59 UTC on 4 October 2019, or at least me know if you will need additional time. For your information and consideration in thinking through the questions, some of the main themes we heard on the last call: Clarity is needed around the relationship between the liaison and PDP leadership More specificity is needed around each of the liaison’s responsibilities (e.g., for reporting requirements, what role does the liaison play in preparation and distribution? Which parts of the process does the liaison own when something needs to be escalated?) WG members need to better understand the role of the liaison Best, Steve From: GNSO-PDP3Dot0-DT <gnso-pdp3dot0-dt-bounces@icann.org> on behalf of Steve Chan <steve.chan@icann.org> Date: Thursday, September 26, 2019 at 4:56 PM To: Paul McGrady <mcgradygnso@gmail.com>, "Austin, Donna" <Donna.Austin@team.neustar>, "Drazek, Keith" <kdrazek@verisign.com>, Elsa S <elsa.saade@gmail.com>, Flip Petillion <fpetillion@petillion.law>, Heather Forrest <haforrestesq@gmail.com>, Stephanie Perrin <stephanie.perrin@mail.utoronto.ca>, Rafik Dammak <rafik.dammak@gmail.com>, Darcy Southwell <darcy.southwell@endurance.com>, Susan Kawaguchi <susankpolicy@gmail.com> Cc: "gnso-pdp3dot0-dt@icann.org" <gnso-pdp3dot0-dt@icann.org> Subject: Re: [GNSO-PDP3Dot0-DT] GNSO Council Liaisons to PDPs - Request for Input and Feedback Hi All, with emphasis on the liaisons, Thanks to all that were able to attend. Best, Steve From: GNSO-PDP3Dot0-DT <gnso-pdp3dot0-dt-bounces@icann.org> on behalf of Steve Chan <steve.chan@icann.org> Date: Wednesday, September 18, 2019 at 11:12 AM To: Paul McGrady <mcgradygnso@gmail.com>, "Austin, Donna" <Donna.Austin@team.neustar>, "Drazek, Keith" <kdrazek@verisign.com>, Elsa S <elsa.saade@gmail.com>, Flip Petillion <fpetillion@petillion.law>, Heather Forrest <haforrestesq@gmail.com>, Stephanie Perrin <stephanie.perrin@mail.utoronto.ca>, Rafik Dammak <rafik.dammak@gmail.com>, Darcy Southwell <darcy.southwell@endurance.com>, Susan Kawaguchi <susankpolicy@gmail.com> Cc: "gnso-pdp3dot0-dt@icann.org" <gnso-pdp3dot0-dt@icann.org> Subject: [GNSO-PDP3Dot0-DT] GNSO Council Liaisons to PDPs - Request for Input and Feedback Sent on behalf of the GNSO Council PDP 3.0 Small Team.
