"O&E strategy 2019 v2" and "O&E suggestions"
Dear Daniel and colleagues, hi! Let me make some suggestions regarding our working process: Now we have two documents for the discussion - "O&E strategy 2019 v2" and "O&E suggestions". Maybe it would be more expedient if: 1. To Merge these two documents. 2. To create (after or during approval-time of the final version) a matrix of activities indicating all of our actions and quality of participation, with deadlines, responsible persons, to provide links to ICANN structures with which we will cooperate on each item? I think it may help us to organize and structure our work. And second one: Maybe within the strategy we need to make a division on OE activity towards individuals and ALSs, because in general these two types of audiences suppose different tools usage. What do you think about it? Sincerely yours, Natalia Filina Member of ISOC Member of EURALO Individuals’ Association ALAC Subcommittee on Outreach and Engagement 1. +7 906 722 54 61 Moscow, Russian Federation
Dear Natalia, Thanks for your email and reaching out. I agree with your suggestion as the later document mainly focuses on communication strategy. As part of the O&E strategy 2019 v2, it also intends to detail how we conduct communication and engagement which will strongly rely on the communication from the comms team. The activities are great and they come through collaboration with the GSE and respective stakeholders which include and not limited to the Outreach and Engagement Co-chairs. Furthermore the Activity Matrix is something that we can develop but also feed into the calender of key events of engagement and this is based on the Individuals who are selected to attend or represent At-Large through CROP of Discretionary funds. I would like to take this upon as an Action Point upon dialogue through this mailing list. We shall come to the breakdown through respective Capacity building engagement which will target both Individuals and ALSes. The key emphasis is how do we enhance or build engagement in the Policy Development Process. That is the direction that we are going. We are not there yet but we shall get there. Hi everyone There are some excellent ideas coming out of this committee and I certainly don't want you to lose sight of them. However, from this subcommittee I need an O&E strategy and a Capacity Building strategy so that they can be endorsed by the ALAC ideally before we get to Kobe. While both may have communication and metrics components, the strategies are to give the working groups some direction for the future. Mention of communication and metrics need only be with regards to assisting the direction of the strategy which should be high level and not require and specific details. Detailed communication and metrics guidelines will be produced once we get other priorities out of the way- and they are already included in our Review Implementation Plan. I also believe that we are going to have someone from Comms attending the next ARIWG meeting - you are all welcome to attend. The guidelines will be provided to help working groups to develop their own metrics based on what projects they are currently undertaking and what outcomes they want to result from those activities - with indicators to demonstrate that the outcome has been achieved. This will provide meaningful information for your report to outsiders about what has taken place and how you know that you achieved what you set out to do. The ATLASIII Leadership team is currently doing just that in identifying the criteria to be used to choose our ATLAS travellers with indicators that must demonstrate that they meet the criteria. I cannot see the point in a metrics group actually creating metrics for a strategy or project that they don't own. Their role will be to set the guidelines and to provide advice if asked to ensure that the measures used are appropriate. So if the O&E group can work and agree on the two strategies we need before Kobe for endorsement by the ALAC, then we can move on to deciding what the two groups will do and what communication approaches and measures will be needed to demonstrate that their project objectives have been achieved. Thank you so much for your commitment and your passion - two important leadership characteristics :) Maureen . On Sat, Feb 2, 2019 at 6:52 AM DANIEL NANGHAKA <dndannang@gmail.com> wrote:

Dear Maureen, Daniel, thank you for your support and attention to the right points of the current tasks. Following the comments from Maureen about the needs to provide an O&E strategy and a Capacity Building strategy (Dear Maureen, I apologize for answering and continuing just 1 part of your comments here, the issue of analysis of our past experience and providing the right metrics are already in the current discussion), I suggest to consider an additional separate area of our activities (as an great opportunity to enhance our work and perhaps as giving some direction for the clear actions of working groups). So, we are talking about collaborations and joint activities between RALOs and our MOU partners, and RIRs: It looks like we have and may consider at least 3 ways to our common work: 1. Collaboration on the learning issues field: 1.1 The mutual learning programme (for ATLASIII, for Capacity Building tasks, joint learning day before, during, after ICANN and other meetings/events, the creation of possibilities open learning online/offline zone as Project) including visits or (!) courses in Educational institutions in European countries). 1.2 We may create joint consultative committee for end users (have no better way to know about problems, needs and reality, than to ask - what`s up, what`s your problem?-) 2. Events of RIR or MOU partners are nice places for our presentations, short speeches and including separate mini-events by RALOs, because we interested in reach of our scale, putting high qualification to ICANN hot topics and discussion. We know that these events attending a lot of our potential members from tech community (high level tech experience/rich knowledge) and business area. They are our potential members (as individuals and as LIR as ALS). 3. We should to provide an attending at our local events (for ex GA) at least 1 of presenters from our MOU partners with short feedback from internet communities about achieving success, needs, difficult etc to use this information as bottom up requests to ICANN. 4. The financial support our activities (collaborations too) as sponsorship. -) I hope at least part of this suggestions can be putting to our strategies and may be realize with common interest from RIRs and MOU partners. And I guess we may use the great opportunity to put these issues in the agenda of meeting with RIRs in Kobe (if it have no yet completed).
