Dear Councillors, The issue of the Future of the ccNSO Dinners caused quite a debate at today's call, so it was decided to once again forward the document on this subject to the Council list and to discuss it online. We can then bring it up again at next Council call. Please, read the document and share your thoughts on this email list! Kind regards, Gabi
Thanks Gabi for the paper. I have now been able to listen to the call recording and was not surprised to hear the level of interest in this item!
From both the paper and the call, I understand that the popularity of the dinners has resulted in problems and we currently have a 'problem statement' that covers three problems:
1. The administration of the ccNSO dinner is becoming increasingly time consuming and problematic for our Secretariat 2. The cost of the dinners has now risen to a level that makes it challenging to find sufficient sponsorship 3. We cannot currently accommodate everyone who would like to come to the dinners and people become frustrated and/or disappointed Perhaps as a starting point for our discussion, it would be helpful to know if there are any other problems that we have missed? Assuming we can agree on what problems we are trying to solve, the next challenge will be to consider solutions. On the call, I heard solutions being proposed that would address some, but not all of the problems, such as asking attendees to pay for some of the costs, asking the local hosts to organise. Its always quite difficult to have a debate on this kind of topic via an email list, but at the very least I suggest that we use the list to gather some suggestions on options that we can bring together in a paper for our next Council call. Thoughts and suggestions welcome….. Lesley, all, The only other problem I can spontaneously think of now is that there are – sometimes – problems finding a suitable place that can take all people. We prefer to have the restaurants as close as possible to the meeting venue (to save time), but this is sometimes a challenge. I too was surprised to hear the levels of anxiety being caused to our secretariat by these dinners. I think the recommendation put forward by Gabi to have a "cocktails and snacks for the entire ccTLD community" is worth testing, and I would suggest we adopt this format for perhaps the first 2 ICANN meetings in 2013, and evaluate and compare and make a final decision at that point. I think the opportunity to socialise with the broader group, and the transient nature of discussions over cocktails would enable us all to meet and chat with a broader cross section of our community. I do find the sit-down dinners a little restrictive on being able to meet and mingle, so this format is an improvement. And I think the impact on the local host, on the sponsors, and the ability to continue to have the event close to or at the meeting venue will all be important pluses to this process And finally, anything that can ease the burden and hassles on our secretariat must be good for us all... +1in particular with regard to the unrestrictive nature of cocktails, which will allow for more interaction between the cc community, while keeping the door open for all cc people. I feel sorry I didn't realize the kind of burden the dinners put on the secretariat until I read the document. I agree with Keith suggestion . Though it sounds easy to do it in the venue hotel, it has been a tradition to go out, hopefully close to the venue but to a different and perhaps more "local atmosphere". bon appetit! Victor

1. The administration of the ccNSO dinner is becoming increasingly time consuming and problematic for our Secretariat 2. The cost of the dinners has now risen to a level that makes it challenging to find sufficient sponsorship 3. We cannot currently accommodate everyone who would like to come to the dinners and people become frustrated and/or disappointed
Perhaps as a starting point for our discussion, it would be helpful to know if there are any other problems that we have missed?
Assuming we can agree on what problems we are trying to solve, the next challenge will be to consider solutions. On the call, I heard solutions being proposed that would address some, but not all of the problems, such as asking attendees to pay for some of the costs, asking the local hosts to organise.
Its always quite difficult to have a debate on this kind of topic via an email list, but at the very least I suggest that we use the list to gather some suggestions on options that we can bring together in a paper for our next Council call.
Thoughts and suggestions welcome..
Kind regards,
Lesley

Dear Councillors,
The issue of the Future of the ccNSO Dinners caused quite a debate at today's call, so it was decided to once again forward the document on this subject to the Council list and to discuss it online. We can then bring it up again at next Council call.
Please, read the document and share your thoughts on this email list!
Kind regards,
Gabi
Dear all, As I said during the call, I wasn't aware of (or never though about) the workload that the dinners put on the secretariat, nor did I know that the dinners caused negative sentiments in the community by having a higher demand than capacity. And when we add the incredible costs of a dinner, it is clear that we have to try something else. I would have hoped that we could stick to a dinner (as they are so popular), but change the approach, e.g. by charging for a ticket (will limit the number of attendees, solve the sponsor problem and possibly reduce negative sentiments) and asking the host to organize (will take the load of the secretariat). However, as a large majority is in favor of trying the proposed "cocktail alternative", I will jump in line :) Cheers, Roelof Meijer SIDN | Meander 501 | 6825 MD | P.O.
