Just writing to see if we were working on setting up an initial call or meeting schedule? It would be great to meet a couple of times prior to ICANN 55 (which is less than a month away)? Hello everyone, Happy to be in the group and looking forward to work together. I just have one doubt. The call for volunteers says that the first online call of the WG will be scheduled towards the end of February and that the call for volunteers stays open until then. Are we looking to anticipate this schedule? By doing so, are we also reducing the time for the call for volunteers? A second point is that, looking at the agenda for Marrakech there is one session focused on new gTLD program review. Is there anything else being planned? I imagine the WG will have a face to face meeting in Marrakech. What would be our main goals? Hi Michele, Thanks for the clarification. For the future, maybe it would be useful to change the language of the call in order to reflect what you are saying, because my reading of the language leads me to understand quite the opposite: "This call will remain open until the PDP WG convenes for the first time. At this juncture, it is anticipated that the PDP WG may convene online in late February 2016". Regardless of the fact that we would have an "official" kickstart call or a informal call, I agree that a conversation by voice or e-mail is necessary to plan the group's presence in Marrakech. Happy to be in the group and looking forward to work together. I just have one doubt. The call for volunteers says that the first online call of the WG will be scheduled towards the end of February and that the call for volunteers stays open until then. Are we looking to anticipate this schedule? By doing so, are we also reducing the time for the call for volunteers?
A second point is that, looking at the agenda for Marrakech there is one session focused on new gTLD program review. Is there anything else being planned? I imagine the WG will have a face to face meeting in Marrakech. What would be our main goals?

Dear WG Members, Welcome to all of those who have signed up to the WG already and we appreciate your enthusiasm in initiating discussions. Staff has consulted with Paul McGrady, the Council liaison and interim chair, and identified a proposed date and time for the first WG meeting, which is Thursday, 25 February 2016 at 16:00 UTC. As the New gTLD Subsequent Procedures PDP is anticipated to be a topic of broad community interest, we thought it would be beneficial to allow the call for volunteers to remain open for a period of approximately three weeks. Going forward from that initial meeting, the WG may want to identify a different day of the week and time(s) that may be more convenient for members. Unless this proposed time proves widely problematic, we will work with the GNSO Secretariat to have meeting invitations sent to members in the near future. In terms of staff participation, it is indeed expected that a number of staff, including from the teams led by the folks Jeff mentioned, will at a minimum follow the mailing list, if not actively participate in WG discussions. And to the discussion between Mirilia and Michele, the reason for targeting the end of February for the first meeting was to allow for adequate time for potential members to sign up before the WG begins discussions. However, as Michele noted, signing up after the WG starts is possible. Staff has consulted with Paul McGrady, the Council liaison and interim chair, and identified a proposed date and time for the first WG meeting, which is *Thursday, 25 February 2016 at 16:00 UTC*. As the New gTLD Subsequent Procedures PDP is anticipated to be a topic of broad community interest, we thought it would be beneficial to allow the call for volunteers to remain open for a period of approximately three weeks. Going forward from that initial meeting, the WG may want to identify a different day of the week and time(s) that may be more convenient for members. Unless this proposed time proves widely problematic, we will work with the GNSO Secretariat to have meeting invitations sent to members in the near future.
In terms of staff participation, it is indeed expected that a number of staff, including from the teams led by the folks Jeff mentioned, will at a minimum follow the mailing list, if not actively participate in WG discussions.
And to the discussion between Mirilia and Michele, the reason for targeting the end of February for the first meeting was to allow for adequate time for potential members to sign up before the WG begins discussions. However, as Michele noted, signing up after the WG starts is possible.

Hi, I think there is consensus that 25 does not fit to a big number of members and the solution would be to get as soon as possible a doodle to choose a date for the first call. Also it is important that we agree on whether we will go forward with the proposal of having a fixed day in the week for the upcoming meetings or have probably a kind of monthly doodle to identify members availability. Both solutions have pro and cons; the first give staff less work in identifying meeting dates and time, while the second gives members more liberty in managing their personal and professional agenda. I am in favor a mix of both. Welcome to all of those who have signed up to the WG already and we appreciate your enthusiasm in initiating discussions.
Staff has consulted with Paul McGrady, the Council liaison and interim chair, and identified a proposed date and time for the first WG meeting, which is *Thursday, 25 February 2016 at 16:00 UTC*. As the New gTLD Subsequent Procedures PDP is anticipated to be a topic of broad community interest, we thought it would be beneficial to allow the call for volunteers to remain open for a period of approximately three weeks. Going forward from that initial meeting, the WG may want to identify a different day of the week and time(s) that may be more convenient for members. Unless this proposed time proves widely problematic, we will work with the GNSO Secretariat to have meeting invitations sent to members in the near future.
In terms of staff participation, it is indeed expected that a number of staff, including from the teams led by the folks Jeff mentioned, will at a minimum follow the mailing list, if not actively participate in WG discussions.
And to the discussion between Mirilia and Michele, the reason for targeting the end of February for the first meeting was to allow for adequate time for potential members to sign up before the WG begins discussions. However, as Michele noted, signing up after the WG starts is possible.

Dear WG Members, Establishing the date for the first meeting was done primarily to provide as much advance notice as possible to members. The main reason for not using a Doodle poll for this initial meeting is that the WG membership continues to grow, so members yet to sign up to the WG could be excluded from participating in the poll. One of the topics for the first meeting is anticipated to be a discussion on future scheduling of meetings, which could include debate around the day of the week and time and whether rotating meeting times is necessary, though resolution would be done through a Doodle poll or similar. That all said, from a staff perspective, we can certainly still establish a Doodle poll for this initial meeting, but it may introduce uncertainty and delays in scheduling. I support the idea of getting the first kickoff meeting underway-we have to start somewhere and while this decision may seem arbitrary I don't think a doodle poll would provide us with a clear preference - I agree with Steve that it would in all likelihood introduce uncertainty and delays in scheduling. Establishing the date for the first meeting was done primarily to provide as much advance notice as possible to members. The main reason for not using a Doodle poll for this initial meeting is that the WG membership continues to grow, so members yet to sign up to the WG could be excluded from participating in the poll. One of the topics for the first meeting is anticipated to be a discussion on future scheduling of meetings, which could include debate around the day of the week and time and whether rotating meeting times is necessary, though resolution would be done through a Doodle poll or similar.
That all said, from a staff perspective, we can certainly still establish a Doodle poll for this initial meeting, but it may introduce uncertainty and delays in scheduling.

Staff has consulted with Paul McGrady, the Council liaison and interim chair, and identified a proposed date and time for the first WG meeting, which is *Thursday, 25 February 2016 at 16:00 UTC*. As the New gTLD Subsequent Procedures PDP is anticipated to be a topic of broad community interest, we thought it would be beneficial to allow the call for volunteers to remain open for a period of approximately three weeks. Going forward from that initial meeting, the WG may want to identify a different day of the week and time(s) that may be more convenient for members. Unless this proposed time proves widely problematic, we will work with the GNSO Secretariat to have meeting invitations sent to members in the near future.
In terms of staff participation, it is indeed expected that a number of staff, including from the teams led by the folks Jeff mentioned, will at a minimum follow the mailing list, if not actively participate in WG discussions.
And to the discussion between Mirilia and Michele, the reason for targeting the end of February for the first meeting was to allow for adequate time for potential members to sign up before the WG begins discussions. However, as Michele noted, signing up after the WG starts is possible.

Establishing the date for the first meeting was done primarily to provide as much advance notice as possible to members. The main reason for not using a Doodle poll for this initial meeting is that the WG membership continues to grow, so members yet to sign up to the WG could be excluded from participating in the poll. One of the topics for the first meeting is anticipated to be a discussion on future scheduling of meetings, which could include debate around the day of the week and time and whether rotating meeting times is necessary, though resolution would be done through a Doodle poll or similar.
That all said, from a staff perspective, we can certainly still establish a Doodle poll for this initial meeting, but it may introduce uncertainty and delays in scheduling.

Staff has consulted with Paul McGrady, the Council liaison and interim chair, and identified a proposed date and time for the first WG meeting, which is *Thursday, 25 February 2016 at 16:00 UTC*. As the New gTLD Subsequent Procedures PDP is anticipated to be a topic of broad community interest, we thought it would be beneficial to allow the call for volunteers to remain open for a period of approximately three weeks. Going forward from that initial meeting, the WG may want to identify a different day of the week and time(s) that may be more convenient for members. Unless this proposed time proves widely problematic, we will work with the GNSO Secretariat to have meeting invitations sent to members in the near future.
In terms of staff participation, it is indeed expected that a number of staff, including from the teams led by the folks Jeff mentioned, will at a minimum follow the mailing list, if not actively participate in WG discussions.
And to the discussion between Mirilia and Michele, the reason for targeting the end of February for the first meeting was to allow for adequate time for potential members to sign up before the WG begins discussions. However, as Michele noted, signing up after the WG starts is possible.

I'm also in favour of taking the time which has been fixed and getting things underway at least for this kick off call. If we do a Doodle now the call could be pushed back further, and as it is we are coming up against the Marrakech meeting. Assuming we have an in-person meeting in Marrakech we really should try to make that count by dealing with the substantive work plan there. The next opportunity to meet in person could be some time - will there even be time in the Meeting B/Panama schedule?
