Planning for face-to-face meetings

Dear SSR2 Review Team, Per the team decision on the 19 July call to plan to meet before the ICANN meeting in Barcelona, we are confirming that we have submitted the request for a 2-day meeting to be held in Barcelona on 18 and 19 October. These are the only available dates for ICANN63 pre-meetings. Please note that requests are limited by available space and resources. We will let the review team know when the meeting is confirmed (likely in early August). Once confirmed, please note that the review team will have until approximately mid-August (exact date TBD) to cancel the meeting request. If the confirmed meeting is cancelled after the mid-August date, the review team will incur a fee as the contracts for space, resources and equipment will already be in place. Meetings at ICANN meetings In addition, as requested, below is some general information about requesting face-to-face meetings around ICANN meetings: * Requests are required to be submitted 90 days prior to the proposed meeting dates. Any face-to-face meeting requests less than 90 days prior to the event date(s) will be reviewed and considered by the Meetings Team and/or ICANN management on a case-by-case basis due to the required length of time for the contracting processes, travel booking, and overall time needed to properly plan a quality meeting. * ICANN’s meeting team will advise which days are available for face-to-face meetings prior to ICANN meetings in good time for the review team to meet the 90-day deadline. * During ICANN meetings, room availability is limited to short blocks of time. Additionally, many review team members have demands on their schedules to participate in various sessions. As such, full-day face-to-face meetings during ICANN meetings are not feasible. * Typically, due to contractual restrictions of the ICANN meeting venues, face-to-face meetings are not feasible after ICANN meetings (ICANN63 was confirmed as a location where post meetings are not possible). Meetings outside of ICANN meetings For future planning purposes, the attached slides provide an overview of steps, timeframes, and cost estimates that ought to be considered when planning a face-to-face meeting. We would be happy to answer any questions on the content of this email or the attached slides. Staff have created a new ‘Briefing Materials’ page for the wiki, which you can find here: https://community.icann.org/x/zgRpBQ [community.icann.org] The page includes materials from all briefings delivered to the review team and all subgroups to date, including briefing materials, questions and answers - SSR1 Implementation materials among them. Any questions should go to Jennifer Bryce. I understand that answers to a number of the questions posed by the Review Team are outstanding. Prior to the review pause, staff were reviewing the list of SSR1 Implementation related questions, referencing answers to questions already asked during the course of the review, or obtaining answers from the appropriate subject-matter expert in the case of new questions. Also prior to the pause, the SSR2 review team had begun the process of seeking an independent expert to perform a gap analysis of the first SSR Review recommendations. Both of these activities were put on hold as part of the pause, given the various doubts being cast on scope and whether the right questions were being asked and whether an expert was the right way to go, etc etc. It is not immediately urgent, but would be very useful for team members new and old, to review this material or just refresh as needed prior to the Face-to-face. I will be reaching out to a few team members to request the brief narrative overview that we discussed at last team meeting in the next few hours. That should assist with navigating and making sense of the material on the wiki. SSR2 Budget Information

Dear SSR2 Review Team, Please find below information regarding the Review Team budget. The total budget envelope presented to the Review Team at the start of the review was: * Travel = $344,419 * Professional services = $350,000 * Total = $694,419 Through May 2018, total Review Team expenditures were: * Travel = $156,156 * Professional services = $46,750 * Total = $202,906 Total remaining budget = $491,513 (Please note that there are expenses currently being charged to the review for the upcoming face-to-face meeting in Washington, D.C. These expenses are not included in the expenditure calculations provided here. Staff is working with Denise and Eric to manage costs of the DC meeting). The Review Team can use the total remaining budget amount as it chooses to complete the work of the review. The budget envelope is available for review work, regardless of timeframe or fiscal year. The fiscal year budget breakdown is an internal process and will have no bearing on the spending of the budget allocated to the review. Facilitator contract deliverables

Dear all, I am sending the below message to the review team on behalf of Phil Khoury. ---- An Action Item from July 19th Team meeting was to share the key deliverables of my contract with ICANN as the facilitator for the Review team. The following is verbatim extract from the Contract: * Conduct remote one-to-one interviews with all Review Team members and other key stakeholders by July 6, 2018; draft 3 - 4 page summary of issues raised, consequences for (team) sessions and future working, and circulate to Review Team. * Draft objectives, session plan and success indicators – test with key advisers. * Develop agenda for a 3-day face-to-face meeting in Brussels at a date to be determined * Attend meeting in Brussels and facilitate work of the Review Team in selecting leadership, developing a workplan and scope of work. * Develop detailed facilitation session plan. * Draft summary of proceeding. * Report back to ICANN staff, SO/AC Chairs, and / or the ICANN Board. Note that almost all of this text was based directly on my suggested scope of work provided in the initial proposal – which was written in heroic ignorance of the facts (! as for all good consulting proposals). Please also note that I have committed to you all that I will provide the final report to the Review Team before it is finalised to go to parties mentioned in the last dot point. Hi All - Our SSR2 Team Member, Kerry-Ann Barrett, had a healthy baby girl (Elizabeth Rebecca Barrett) over the weekend on Sunday. Both Mom and baby Barrett are doing well. For those who are coming and haven’t completed travel arrangements please do so today.
