Document Deadlines

Dear All, A reminder of the new requirement approved by the Board that all documents for consideration by the Governmental Advisory Committee shall be available 15 working days prior to the beginning of the Sydney meeting on 21 June 2009, and all other documents shall be available 10 working days prior to the beginning of the Sydney meeting. This will apply to motions before Council. The full text is below: http://www.icann.org/en/minutes/prelim-report-21may09.htm Approval of Recommendations from Public Participation Committee regarding Meetings Document Deadlines Whereas the Board requested the Public Participation Committee to develop a plan for ensuring that all major meeting material be available at least two calendar weeks in advance of meetings, starting with Sydney; Whereas the Public Participation Committee has found that deadlines for the publication of input documents before ICANN's international public meetings need to be phased in over multiple meetings; Resolved (2009-05-21-15) that documents for consideration by the Governmental Advisory Committee shall be available 15 working days prior to the beginning of the Sydney meeting on 21 June 2009, and all other documents shall be available 10 working days prior to the beginning of the Sydney meeting. Resolved (2009-05-21-16) that the Public Participation Committee shall review the experiences gathered with this meeting, and propose an operational policy based on these experiences to the Board, to become effective for the Seoul International Meeting. Scheduling of meetings

Avri, Can I suggest a topic for discussion by the GNSO in Sydney? I think we need to look at how we schedule our meetings. As I previously brought up and as was briefly commented on (largely by Chuck and Avri) I think that Doodles are not appropriate. They make it a popularity contest whereby the most unpopular vote always loses. Given that time zones don't change it really doesn't help those that are in the minority and outside of the "popular" time zone. I understand it is incredibly hard to schedule meetings when participants are scattered all over the world but I would favour a rotation process that shared it around irrespective of numbers. Happy to have this discussion on Saturday or Sunday if deemed appropriate. Note I'll be as sharp as a tack (no jet lag for me!). Thanks. Adrian Kinderis (GMT/ UTC +10)

Greg will review the plan that delineates ICANN's specific programs that address the security, stability and resiliency of the Internet's naming and addressing systems and discuss the activities planned for the 2009-2010 operational year. All, I understand there are two sessions confirmed for new gTLD and IRT discussions in New York and London in the coming months. I also see that two sessions are tabled for Abu Dhabi and Hong Kong. Have these sessions been confirmed. Does anyone know if they have the same representation from IRT Members as the New York and London sessions? Perhaps Staff or Team members could respond? Thanks. Dear Councillors, Ahead of the draft GNSO related schedule for Sydney, please note that the joint ccNSO/GNSO Council meeting will be a working lunch on MONDAY, 22 JUNE 2009 at 11:45 to 13:00 on level 2, room 5-6.
