Dear Colleagues,
As I mentioned several times during the meeting in Barcelona, we are working
on a knowledge base and the flow of internal information exchange to make
sure that we can function efficiently even when someone (staff, chair) is
not available for any reason and also to ensure smooth transition (new staff
member, new chair) whenever such a need arises.
This work has, in turn, highlighted a need for improvements in other areas
as well (there are already many things on our list and we are trying to move
forward step by step). One of the questions is - how to help Councillors to
get more engaged (and yet make it easier for the staff and the chair)? We
are going to talk about that in more details during our workshop in Kobe.
Meanwhile, here's a suggestion: let's try collaboration tools.
As a pilot project, to see if it works at all, let's start with one
document. As you know, whenever the ccNSO receives a request, it goes to our
Triage Committee. The Committee reviews the request and comes up with a
(list of) recommended action(s). The summary of the request (as presented by
the requester) together with the recommended action is sent to the Council
for approval. Currently, the template used for that email is long and not
easy to follow. We propose to simplify it. Please, have a look at the

feel about the proposal to use Google docs: does it work for you, do you
find it useful, do you have any other suggestions on how to make our
collaboration more efficient?
