Dear Councilors, I have contacted you regarding the ccNSO travel support for the ICANN85, held 7-12 March 2026 in Mumbai, India. To determine the distribution of the ccNSO slots, your action is required by 18 October 2025 (23:59 UTC). Instructions and background information are included below. Thank you. Best, Joke = = = INSTRUCTIONS | Each region has three (3) Councillors, but only one (1) fully funded slot is available per region. Please coordinate with the other two Councillors from your region to agree on how this slot will be allocated. NomCom-appointed Councillors each have a slot at their disposal Submit responses to: ccnsosecretariat(a)icann.org<mailto:ccnsosecretariat@icann.org> by 18 October 2025 (23:59 UTC). Please answer the two questions below: Q1. Which Councillor(s) from your region will receive funding? Q2. What type of funding will be provided? Choose one option below: Option 1: Full funding – airfare, accommodation, and per diem Option 2: Partial funding – airfare only (no accommodation, no per diem) Option 3: Partial funding – accommodation and per diem only (no airfare) Notes: If one Councillor receives full funding, submit only 1 name. If the funding is split, submit 2 names and clearly indicate which Councillor receives Option 2 and which receives Option 3. WHAT IS INCLUDED | ccNSO travel funding covers an economy class return ticket to the traveldestination, the hotel costs for the time of the meeting and a per diem. (Either full or partial funding). BACKGROUND | The ccNSO has 17 full travel slots for ICANN85, of which 8 are allocated to the Council. According to the applicable guideline (section 5.1): Three (3) travel slots are reserved for the NomCom-appointed ccNSO Councillors. At least one (1) Councillor from each ICANN geographic region is eligible for travel support. Within each geographic region, the Councillors decide among themselves who will receive funding and notify the secretariat. If all three Councillors from a region decline the travel funding, the unused slot is returned to the general pool and reallocated to the broader ccTLD community. Similarly, if any NomCom-appointed Councillor declines their funding, the corresponding slot also goes back into the “Broader ccTLD community” category. The remaining 9 full travel slots are allocated directly to the “Broader ccTLD community” category. Members of the ccTLD community, including Councillors not funded through the above mechanisms, can apply for these travel slots by completing an application form available on the ccNSO website. Detailed instructions will be shared via ccNSO mailing lists and published on the website. The ccNSO Travel Fund Committee will meet shortly after closure of the application window. The committee will need to evaluate all applications received via the online form - excluding the 5+3 Council slots - and make an informed decision on the distribution of the slots. The ccNSO Secretariat will submit the ccNSO travel fund database to ICANN Travel support by the deadline stipulated by ICANN org. All applicants will be informed about the outcome of the deliberations, and the list of ccNSO funded travelers will be posted on the ccNSO website. TRAVEL ARRIVAL MEASURES | All travelers have a responsibility to understand the entry and exit requirements of their travel and determine if they can meet those requirements before committing to the travel. Call for newcomers Help Support Newcomers at the ccNSO Meeting in Prague As you may have noted, the ccNSO has launched a mentoring program to support newcomers and help them navigate ccNSO meetings more easily. A key part of this initiative is pairing newcomers with experienced community members—our "ccNSO buddies"—who can help lower the threshold for participation and enhance engagement during meetings. As a follow-up to our recent call for ccNSO buddies, we are now reaching out to you to ask for your support in identifying newcomers from your organization who will be attending the ICANN 84 meeting in Dublin: * For the First-time or second-time attendees, or * Individuals returning to ccNSO meetings after an extended absence If someone from your organization meets this description, we kindly ask you to: 1. We're reaching out to invite experienced, enthusiastic, and approachable volunteers to become buddies for newcomers. Why This Matters? Becoming involved in a new group can be intimidating. With your help, we can: * Ease the transition for newcomers * Reduce uncertainty around participation * Build community and belonging * Encourage early, confident engagement in ccNSO work Who Makes a Great Buddy? Here is a status update (Friday, 26 September at 11:00 UTC): * Africa region: One candidate has been nominated and seconded. * Australia-Asia-Pacific region: Two candidates have been nominated; one has been seconded, the other is pending a confirmation of the seconding. * Europe region: One candidate has been nominated and seconded. * Latin America & Caribbean region: Two candidates have been nominated, and both have been seconded. * North America region: One candidate has been nominated; seconding is still pending.
